We are seeking a highly organized and detail-oriented Real Estate Administrator to join our team and play a crucial role in streamlining our mortgage application process. This position requires a strong understanding of the real estate industry, particularly mortgage procedures and FLISP subsidies. The ideal candidate will be proficient in managing client data, generating reports, and utilizing CRM software like HubSpot and DealMaker. Excellent communication and interpersonal skills are essential for interacting with clients, internal teams, and external partners. Client Management: Conduct credit checks, assess affordability, and calculate FLISP subsidies using designated software. Maintain accurate client databases, recording passed and failed clients for mortgage pre-qualification. Generate daily, weekly, and monthly reports on client affordability and share them with relevant parties via designated channels Mortgage Applications: Utilize Dealmaker app to process mortgage applications, uploading and managing client documents. Ensure completeness and accuracy of all application documents submitted. Track application progress and generate daily, weekly, and monthly reports. Submit applications to Mortgage Max and follow up on approvals. Liaise with Mortgage Max and Bond Originators to expedite applications and ensure smooth processing. Arrange insurance and analyze grant letters upon successful mortgage applications, ensuring team awareness of required terms and conditions. Schedule Borrowers' education (if applicable). Deal Management: Track deals submitted to DealMaker and manage monthly reports. Liaise with conveyancing and bond attorneys to ensure our property deals register timeously Identify deals with potential issues and collaborate with the sales team to seek solutions and potentially appeal for approvals. Internal Administration: Manage daily tasks such as verifying documents, recording client data, and updating spreadsheets. Communicate effectively with internal teams via designated channels General office management External Communication: Liaise with external partners and Bond Originators to ensure timely processing of applications and clear communication. Liaise with stakeholders and clients to ensure deals register smoothly. Qualifications: Minimum 5 years of experience in a real estate or property development setting (or transferable administrative experience). Strong understanding of real estate mortgage processes and FLISP subsidies. Proficient in credit check procedures and affordability calculations using relevant software. Excellent organizational skills with the ability to maintain accurate databases and generate reports (spreadsheets). Experience using CRMs or software like Dealmaker is a plus. Excellent communication and interpersonal skills to interact with a variety of stakeholders (clients, Placers, internal teams, external partners). Strong attention to detail and ability to manage multiple tasks simultaneously. Ability to thrive in a fast-paced environment.
