Receiving Team Leader at Deli Spices - Western Cape, Cape Town - Cape Town Region

Main purpose of Job: Manage the receiving, offloading, goods receipting in system, storage, QC clearance and transfer of released stock to the raw materials warehouse. Manage the returns process to suppliers. Drive cost reduction whilst optimizing resources and meeting resource requirements continuously. Ensure raw materials and packaging materials is received in full and in good order from local suppliers and 3rd party warehouses as well as from international suppliers (imports). Ensure raw materials, packaging materials and consumables are received, stored, handled, quality accepted and issued per system and process policies and procedures. Ensure internal customers are supplied with raw materials in the right quantity of the right quality at the right time to meet production and operational needs. Accurate stock control through Cycle counts, FIFO principles and procedures, SYSPRO/WMS transactions. Adherence to Food Safety, General Manufacturing Principles and Quality Assurance and Quality Control Systems. Drive Quality, Environmental Awareness, Safety, Security and Health in the workplace whilst assessing Risks continuously. People management through applied Human Resource and Industrial Relationship tools, policies, and procedures. SCOPE OF JOB FINANCE Drive cost reduction whilst optimizing resources and meeting daily requirements continuously. Manage and maintain accountable and unaccountable losses. Effective and efficient planning, allocation, and maintenance of resources to meet daily operational needs - labour, warehouse capacity, equipment, material handling equipment. Reduce waste in identifying and eliminating non-value adding activities in the operation through fostering an environment for innovativeness, trial-and-error and use of suggestion boxes and dynamic work teams. Maintain overtime in alignment with the departmental set budget. Eliminate waste in usage of consumables. CUSTOMER Ensure Raw Materials and Packaging Materials is received in full and in good order from local suppliers and 3rd party warehouses as well as from international suppliers (imports). Close liaison with the Procurement Department on inbound (supplier) deliveries to ensure sufficient capacity and quality standards met. Daily communication sent to relevant parties on the Procurement Supplier Delivery Schedule adherence by Suppliers and Procurement. Report short deliveries and damages to Procurement immediately. Manage all supplier returns and ensure returns collected within reasonable time by Suppliers. Ensure non-conforming material delivered returned timeously and as per procedure. Ensure customer returns only accepted on presentation of a valid GRV note. Ensure internal customers are supplied with raw materials in the right quantity of the right quality at the right time to meet production and operational needs. Ensure that all raw materials are fumigated timeously and available as per Planning requirements. Ensure all materials are transferred to the Bulk Material Warehouse timeously in the right quantity in SYSPRO/WMS with the required unit bag labels attached. PROCESS Ensure Raw Materials, Packaging Materials and Consumables are received, stored, handled, quality accepted and issued per system and process policies and procedures. Adherence to all company policies and procedures regarding the receiving, handling, storage, quality acceptance and issuing of raw materials and packaging materials. All supplier vehicles must be inspected as per Food Safety Regulations. Ensure that the correct documentation is received and completed with each supplier delivery accepted i.e., Vehicle Inspection document, Supplier delivery documentation and invoices, product Certificate of Acceptance, micro results, RMQC documentation, etc. Ensure all POs are goods receipted accurately and that all materials received is weighed where appropriate and that there are not variances with quantities and weights received. Ensure proper control over all labels and all documentation and real time or timeous scanning of documentation to the Procurement and RMQC department. Verify product expiry dates upon receipt and ensure no expired products are accepted. Ensure correct databases updated daily. Responsible to ensure that stock in INSPECTION is accessible and samples taken by RMQC daily. Responsible to ensure that stock inspected and RELEASED is moved within reasonable time to make materials available for production in bulk warehouse, finished goods warehouse, labelling and consumables. Ensure that all material movements done have an accompanying system movement. Ensure that all pallets and products are correctly labelled to ensure proper lot traceability throughout the value chain. Ensure the correct stacking and storage practices are enforced to eliminate safety and product quality non-conformances. Ensure proper pest control through regular stock rotation, pest inspections and reporting of all pest activity to Food Safety Department. Accurate Stock Control through Cycle counts, FIFO principles and procedures, SYSPRO/WMS transactions. Adherence to all company policies and procedures pertaining to cycle counts, stock counts, stock rotation, FIFO principles and SYSPRO/WMS required transactions in WH05. Ensure all materials in the warehouses have unit bag labels and tracking ID's with the correct product code, product description, unit of measure, lot numbers. Ensure correct expire dates captured according to COA. Accountable for material movements in the irradiation warehouse (02) (HEPRO) and the off-site warehouse (98) (Local Trans). Daily review of the accepted and un-accepted materials in inspection and immediate transfer of released materials to the raw materials warehouse - both physical and in SYSPRO/WMS. Ensure that raw materials and packaging materials are physically divided in the warehouse. Ensure allergen control in the Receiving department. PEOPLE People management through applied Human Resource and Industrial Relationship tools, policies, and procedures. Manage employee time and attendance, absenteeism and leave in accordance with the Basic Conditions of Employment Act and the Company policies and procedures. Manage and motivate employee performance through the Operational Excellence Charter on individual and team performance.
