As the face and voice of Raizcorp Kariega - the Receptionist aims to uphold and maintain the exceptional standards and brand of Raizcorp. The Receptionist remains professional, efficient, friendly, and caring in the way she/he deals with all clients and stakeholders that call Raizcorp or walks through our doors. At Kariega, the Receptionist also holds the role of Selection Administrator (SA) and works closely with the Office Administrator (OA) and Branch Manager (BM) in the selection of entrepreneurs for various Raizcorp programmes. The Receptionist/SA provides qualitative support to the OA; ensures the entrepreneur receives premium level service throughout the selection process and pro-actively drives numbers in contacting leads. Receptionist responsibilities: Welcome all guests and notify respective host of arrival. Offer guests refreshments and pass on requirements to hostess. Screen all incoming mail and deliveries and ensure distribution to the right area / owner. Manage an efficient and professional office environment. This will include ensuring the reception area is neat, tidy, and welcoming at all times. Answer all phone calls for Raizcorp, resident, tenant, and virtual companies, take messages and assist with query handling where possible. Manage all bookings for meeting rooms. Management of documents file (including emergency evacuation procedures), notices and welcome posters. Sorting printing and faxes from the printer and delivering them to the companies and Raizcorpuscles. Store all important material via physical and electronic filing to ensure easy accessibility. Ensure back-up of all electronically filed documents as prescribed in the process manual. Assisting the BM and OA with overseeing and interacting with cleaning staff to ensure effective delivery to the Prosperator. Assist with events or meetings from time to time. Be able to handle enquiries from attendees. Assisting the OA with scheduling of meetings as and when required. Assisting the OA and BM with the typing and distribution of documents as and when required. Selection Administrator responsibilities: Manage an efficient and effective entrepreneur selection process together with the OA and BM. Ensuring strict adherence to all Entrepreneur Selection related processes as prescribed by the business. This includes staying abreast of latest developments and process changes as released by Head Office from time to time. Pro-actively assisting the OA and BM drive the achievement of entrepreneur targets. Pro-actively and zealously screen all incoming enquiries and applications / expressions of interest for all Raizcorp programmes. This will include but not limited to, Arize, Partner Elite, and Seed, Corporate etc. as may be required from time to time. Assisting the OA to follow up on all web enquiries and any other request for information received from potential entrepreneurs. Setting up first meetings on Microsoft Outlook with the Entrepreneur and OA. Assisting the OA with, and actively driving the creation and updating of, Entrepreneur files for qualified applications. Assisting the OA by keeping control of all Entrepreneur files in and out of Selection. Assisting the OA with stock control and compiling all First Meeting files with all necessary documentation. Supporting the OA by managing the Assessment process, i.e., distribution, submission, return of marked tests, follow-up with Markers and Head Office and updating the system accordingly. Assist the OA with collection of information and preparation of files for second meeting and panels. Assisting the OA by facilitating and conducting the process of obtaining B-BBEE certificates for all entrepreneurs on certain programmes. Assisting the BM with compiling presentations and packs for workshops and events to drive sales where requested to do so. Accurately using the internal system to track and provide information / dashboards for all applications received via the various mediums / channels for the different programmes. May be required to conduct follow up calls / communication on leads received and leads that may be suspended for various programmes. Assisting the OA and BM prepare entrepreneur information packs upon request from Principals. This is required in terms of B-BBEE audit requirements. May be required by Head Office to assist with cold calling potential entrepreneurs in an effort to build a healthy pipeline. Managing the Entrepreneur process on the internal system, ensuring strong attention to detail in all information captured to the prescribed timelines as determined by the Selection Manager from time-to-time. The SA is responsible for compiling Entrepreneur files. The SA must submit all files to the Enterpreneurial Scout for sign-off on quality. Complete and update all existing files – gather information and ensure they meet with audit requirements. Skills, Competencies & Minimum Criteria Minimum matric level qualification A tertiary level qualification in Business Administration or Front Office Management. Possess at least 3 years' experience in the role of office support/ receptionist/administration. Intermediate Microsoft Office skills (Word, Excel, PowerPoint, Outlook). Ability to deal with high volumes of complex data. Strong track record in metric / numbers-based environments. R6000 - R8000 ctc per month Apply Now
