An opportunity has presented itself to appoint a suitably qualified candidate into the position of Regional Collections & Administration Supervisor . This position is based at Lancet - Garden Route Area ( George and Mossel Bay). Position Summary: Oversees the Collection and Administration section for the Region. • Supervises all laboratory support, administrative (e.g. switchboard, document scanning, receiving, logging, client services, cashiering, insurance, result entry, etc) and collections functions to ensure the smooth operation of various sites in line with relevant standard operation procedures. • Monitors and controls expenses in order to control costs and maximise the profitability of the sites. • Oversees the extraction of relevant management reports and analyses trends in order to implement or recommend corrective actions to the Regional manager. • Provides excellent customer services always to maintain superior service levels by attending and resolving client queries received. • Attends and participates in relevant meetings in order to monitor processes in the organisation. • Participates and contributes as a member of project teams that are responsible to implement processes and systems at new or upgraded laboratories to ensure that correct working procedures are implemented and staff are trained accordingly. This includes special projects as per Marketing Officer. • Occasionally accompanies drives on the routes to physically experience problems encountered by drives and ensure that acceptable standards are being maintained (such as professionalism, timeous collection etc.) and ensure resolution of problems to constantly improve service levels. • Supervises the correct application of quality assurance processes and standard operating procedures to ensure corrective actions are taken as required. • Draft a roaster for day and late shifts to ensure that there is enough staff to maintain 7 days a week and required time by our local doctors. Calculates and captures overtime according to protocol. • Reviews and implements changes to standard operating procedures in order to ensure functions ( e.g. laboratory courier services, specimen reception and sorting, test result reporting etc.) are constantly able to provide a high quality, cost effective and safe service. • Prepares and ensures availability of up to date documents for internal and external audits to ensure accreditation is maintained and/or obtained in accordance with organisational objectives and business requirements. • Plans and supervises the activities of staff to ensure the most optimal utilisation of available resources. • Trains and develops staff to ensure they have the skills required by the organisation and are able to achieve their performance objectives. • Communicates potential problems to management and assist with providing solutions to prevent problems and ensure that problems do not escalate. • Oversees asset management and procurement of goods to ensure the most effective utilisation of resources, optimisation of stock levels, cost reduction and availability of required stock at all times. • Reports accidents and helps on the coordination of the whole process. • Book cars for service and ensure that no discrepancies on vehicle services. Also coordinate the cleanness of company vehicles.
