Reference: PE010707-Tabz-1An Internal Sales Administrator is responsible for supporting the sales team by managing the administrative tasks related to the sales process. They provide administrative support by accurately processing a large volume of quotes and orders and coordinating with other departments to ensure timely delivery; maintaining accurate records of customer interactions and sales activity; responding to customer enquiries and providing excellent customer service; generating reports and analyzing data to identify trends and opportunities; accurately capturing, maintaining and updating customer information in the CRM tool, providing support for sales presentations and meetings and participating in team meetings, sales calls and providing feedback to improve processes and procedures. Key Performance Areas: Quotes and Orders 40% Customer Service 20% Accuracy of Data 20% Participation in Meetings and Sales Calls 10% Contribute towards Sales Targets 10% Competency Requirements:Knowledge: Understanding of the telecommunications sector. Product knowledge of internet, ethernet and MPLS products advantageous. Customer Service (internal and external customers). Skills: Ability to capture large volumes of data accurately and efficiently. Strong numerical literacy. Communication Skills; verbal and written. Computer literacy; intermediate Excel, Outlook, PowerPoint, Word essential. Planning and ability to prioritize tasks. Problem solving skills. Ability to handle different personalities and styles. Comm or equivalent preferable Minimum Experience: 12 months experience, especially in a sales environment would be advantageous or equivalent preferable. Other Requirements: Own transport and valid driver’s license preferable Must be willing to accommodate global time zones, if required. Job Grade: C1 Key Stakeholder RelationshipsInternal: Sales team Projects, Ops Quality Assurance Procurement Partner Relations Managers Commercial Managers Finance NOC External:Customers Key Performance Areas:Quotes and OrdersTask: Capture and process quotations, orders and customer details on internal applications and systems. Liaise with internal cross-functional teams to deliver orders and provide effective feedback to customers. Customer Service (internal and external)Tasks Receive customer enquiries acknowledge receipt, identify action required and take prompt action. Ensure accurate information on orders is passed on to the project team and resolve queries. Build relationships across the organisation through confident and clear communication to complete tasks. Collaborate with colleagues to achieve overall team goals. Highlight problems and work with team to find solutions. Accuracy of DataTasks Quote detail to be captured accurately including but not limited to customer details, company names, addresses and GPS coordinates. Participation in Meetings and Sales CallsTasks Active participation in team calls and sales calls. Provide feedback when called upon. Contribute towards Support the sales team in achieving their targets. Key Performance Indicators:Quotes and Orders: Accurate capturing on CRM and CPQ. As per agreed turnaround times. Tracking Report /BI Tool: Customer Service (internal and external) Efficient and timely responses. Accurate order details. Queries resolved as quickly as possible. Utilise functional collaboration to obtain necessary information and support. Demonstrate willingness to assist others. Suggest solutions instead of problems. Tracking Report /BI Tool: Feedback from internal teams including CM, PRM and PM. i-Perform 360 Surveys. i-Perform 360 Surveys. Accuracy of Data: Accurate and correct capturing of data. Tracking Report /BI Tool: CRP / CPQ reporting. Participation in Meetings and Sales Calls Internal feedback from CEO and sales managers. Adhere to online meeting etiquette at all times.
