Job Summary:

The Sales Administrator is responsible for providing administrative support to the sales team, ensuring smooth and efficient operations within the sales department. This role involves managing customer accounts, processing orders, handling inquiries, and coordinating with various departments to ensure timely delivery of products. The Sales Administrator plays a crucial role in maintaining customer satisfaction and supporting the overall sales strategy of the company.

Key Responsibilities:

Order Processing and Management:

  • Process sales orders accurately and efficiently.
  • Verify order details, pricing, and availability.
  • Coordinate with production and logistics to ensure timely order fulfilment.

Customer Service:

  • Handle customer inquiries and provide information on products and services.
  • Address and resolve customer complaints and issues.
  • Maintain positive relationships with customers, ensuring high levels of satisfaction.

Sales Support:

  • Assist the sales team with preparing quotes, proposals, and presentations.
  • Maintain and update customer records in the CRM system.
  • Prepare sales reports and analyse sales data to identify trends and opportunities.

Inventory Coordination:

  • Monitor inventory levels and coordinate with the production team to ensure product availability.
  • Assist in managing stock levels and replenishment.

Administrative Duties:

  • Schedule and coordinate meetings, appointments, and travel arrangements for the sales team.
  • Maintain sales documents and records, ensuring they are up-to-date and easily accessible.
  • Perform general office duties such as filing, photocopying, and data entry.

Collaboration:

  • Work closely with the marketing team to align sales and promotional activities.
  • Collaborate with the finance department to ensure accurate billing and payment processing.
  • Coordinate with the production team to communicate customer requirements and delivery schedules.

Key Requirements:

Education and Experience:

  • Diploma in Business Administration, Marketing, or a related field would be beneficial
  • Minimum of 1-2 years of experience in sales administration or related role

Skills and Competencies:

  • Excellent organisational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.
  • Detail-oriented with strong analytical skills.
  • Ability to work independently and as part of a team.
  • Knowledge of inventory management and order processing systems.

Working Conditions:
