An operationally orientated company within the Service Industry is looking for a dynamic, customer centric, energetic Sales Administrator to assist and support a very busy sales team with administration that is required in order for the team to provide a smooth, accurate process and a competitive edge. The position is based in Bellville Cape Town. Administration The Sales Administrator is required to fulfil the full administrative function in the department in line with the business requirements and will include but not be limited to: Data Capturing Accurate capturing of all data requirements within the business process Quoting Compiling quotes as requested and ensuring timeous delivery to client Accuracy of the quote is of extreme importance Inputting quotes and data on the relevant system on behalf of the sales consultant Dealing with invoice and service queries Liaising with debtors or Operations to rectify queries. Where required request credits for sales consultants to review. Keep Sales Consultants up-dated with progress on customer queries Report all Complaints and Compliments timeously and ensure closure of all complaints specifically required by the Consultant, or Manager, as and when required Reporting of Service Contracts and Client Contracts due to expire Keep a Log of Datasheets submitted Follow-up on progress Liaise proactively with Sales consultants in terms of data sheet progress, delays, additional requirements in order to ensure timeous completion of datasheets Update stats and input data sheets on the system. Inputting of data sheets on the system on behalf of the consultant and Sales Manager . Proactively update consultant’s stats and service contracts. Use business reports to highlight terminations in advance. Compile and send volume reports for clients Compile and send volume reports to customers detailing all waste streams and recyclables removed from site within the time period as agreed with the client. Compile month end management reports. Pipelines – Consultants and Sales Managers Assist with Quotes, Service Agreements and call cycles General Administration Assist with Credit applications, datasheet submission, collection of outstanding monies Client liaison as and when required Set-up appointments for Sales Consultants and Sales Managers if required Ensure that all filing is up to date on a daily basis (hard copies and e-copies (Docit) Put together tender packs Ensure that all procedurally correct admin requirements are adhered to in order to complete the Quote and Sale process Reports for clients, internal requirements as requested by Consultants or Managers as and when required Assist in making copies of requisitions or invoicing as required Binding of any required documentation Assist with revenue growth and profitability for area of responsibility. Assist Sales team to meet and exceed revenue targets as set out in the annual budgets pricing of quotes, tenders and proposals. Ensure all proposals/contracts presented/sold comply with Company and legislative requirements. Ensure that proposals, RFQ’s, tenders are presented to the client in a professional and accurate manner. Ensure and perform full sales administration responsibility of clients. Ensure that the sale of services meet the Company's terms and conditions and DSO target. Ensure detailed completion of all relevant paperwork, such as credit applications, profile sheets, data sheets etc. Ensure office remains clean and tidy at all times Contract Compliance Ensure all contracts and agreements (Operational, SLA's) are in place and accurately loaded on the system and accurately maintained and managed in accordance with the agreement. Monitor contract anniversary, expiry and annual price adjustment and implement accurately and timeously. Ensure signed copies of contracts are on hard and soft copy filing so that internal requirements/records are maintained and procedures adhered to. Ensure that annual increase letters are issued accurately and timeously as instructed by management and a signed copy of acceptance returned. Customer Focus Pro-actively maintain knowledge of service offerings and legislation and ensure that clients are informed accordingly. Send quotes and discuss detail with the client as soon as possible within set timeframes. Be innovative in the development of administrative solutions. Ensure accurate and timeous feedback to clients. Ensure all Client legal requirements and contact details and organograms are documented accurately and kept up-to-date Business Process Meet internal business process requirements in terms of document flow and approval. Use provided company systems to carry out functions i.e. CRM, Doc-IT etc. Assist the sales consultants with the following activities within the provided internal processes by liaising with: Sales Consultants Finance and debtors on billing quality and debtors days. Network with people at all levels. Market Focus Gather market and competitor information to assist in establishing market trends and developments. Be aware of potential competitor activity Matric Certificate - Essential A Diploma in Administration or similar - An Advantage A minimum of 2 years experience as a Sales Administrator / Sales Division Assistant - Essential Advanced Excel - Essential Good communication Skills both Oral and Written - Essential Excellent Administrative and Organizational skills - Essential Advanced Computer Skills - Essential Customer orientation - Essential Attention to detail- Essential Ability to work independently and under pressure - Essential Ability to handle difficult customers - Essential Ability to think analytically - Essential The Package is market related and based on experience.
