The Specialist, HR Information Systems at the University of Fort Hare plays a pivotal role in ensuring the effective management and utilization of the university's Human Resources Information Systems (HRIS). This position involves overseeing the development, implementation, maintenance, and enhancement of HRIS to support the university's HR functions and strategic objectives. The Specialist collaborates closely with HR personnel, IT professionals, and other stakeholders to ensure the optimal performance, data integrity, and security of HRIS. 1. HRIS Administration and Maintenance : Administer, configure, and maintain HRIS platforms and databases, ensuring data accuracy, security, and compliance with relevant policies and regulations. Regularly update HRIS software, troubleshoot technical issues, and implement patches or fixes as needed. Develop and document HRIS procedures, protocols, and guidelines to streamline processes and enhance system efficiency. 2. System Development and Implementation: Collaborate with HR team members and IT specialists to identify system requirements, propose enhancements, and develop solutions to meet HRIS needs. Lead or contribute to HRIS projects, including system upgrades, integrations, and new module implementations. Conduct user training sessions and provide ongoing support to ensure staff proficiency in utilizing HRIS functionalities. 3. Data Management and Reporting: Oversee the collection, validation, and maintenance of HR data within HRIS databases, ensuring data accuracy, consistency, and confidentiality. Generate standard and ad hoc reports, dashboards, and analytics to support HR decision-making, workforce planning, and compliance reporting. Develop and implement data governance policies and procedures to maintain data quality and integrity across HRIS platforms. Ensure the annual Higher Education Management Information Systems (HEMIS) staff return and other returns are completed accurately, and on schedule. 4. Compliance and Security: Ensure compliance with data protection regulations, privacy laws, and university policies governing the collection, storage, and use of HR data. Implement security measures and access controls to safeguard HRIS databases and protect sensitive employee information from unauthorized access or breaches. Conduct regular audits and assessments to monitor HRIS compliance with internal controls and external standards. 5. Stakeholder Engagement and Collaboration: Collaborate with HR managers, administrators, and other stakeholders to understand their business requirements and provide strategic guidance on leveraging HRIS for improved HR service delivery. Liaise with external vendors, consultants, and service providers to evaluate, procure, or customize HRIS solutions that align with university needs and objectives. Represent the HRIS team in cross-functional meetings, committees, or working groups to communicate updates, solicit feedback, and drive consensus on system-related initiatives. Competencies: Technical Proficiency : Demonstrated proficiency in HRIS platforms, database management, data analysis tools to effectively manage, analyze, and report HR data. Analytical Skills : Ability to analyze complex HRIS requirements, troubleshoot technical issues, and develop data-driven insights and recommendations to support HR decision-making and strategic planning. Communication and Collaboration: Excellent verbal and written communication skills, with the ability to effectively engage and collaborate with diverse stakeholders, including HR staff, IT professionals, vendors, and senior leaders. Project Management: Strong project management skills, including the ability to plan, organize, and prioritize multiple tasks, allocate resources, and manage project timelines and budgets to deliver HRIS projects on schedule and within scope. Adaptability and Innovation: Flexible and adaptable mindset, with a willingness to embrace change, explore innovative solutions, and continuously improve HRIS processes, systems, and practices to meet evolving business needs and technological advancements. Bachelor's degree in Human Resources Management, Information Systems, Computer Science, or a related field. Honours degree preferred. Certification in HRIS platforms such as SAP, Oracle HCM Cloud, or similar systems is highly desirable. Minimum of 5 years of experience in HRIS administration, system implementation, data management, or related roles, preferably in a higher education or large organizational setting. Strong understanding of HR processes, policies, and regulations, with expertise in HRIS best practices, trends, and emerging technologies. Market Related Apply Now
