As the finance department, we deliver timeously to senior management and shareholders of the organisation, to assist with their decision-making processes in driving the business forward. Purpose of the Role: Reporting to the Head of Finance, this role is responsible for ensuring complete and accurate capturing, maintaining, reporting, controlling and running of all Employee Shares Plans for the Group. Including the accurate capturing/importing of all participant related data and the reconciliation of all plans, grants, vesting, forfeiture and related transactions. This role will also be required to provide support to HR and respond to all related information and queries, from participants, the third-party Shares Portal provider, and finance for all reconciliations, controls and audits. This role is both numbers and people focused and therefore requires the candidate to be highly numerate, well organised, deadline driven and have the ability to meet deadlines and improve processes. Attention to detail and accuracy is non-negotiable. Duties include, but not limited to: Administering all aspects of the equity programs, including maintenance of data (e.g., new hires, terminations) in the equity system, and managing all participant equity plan transactions (grants, exercises, releases, forfeitures) are correctly processed and settled in a timely manner. Performing routine audits to ensure that all data (grants, exercises, releases, forfeitures) have been processed timely and correctly. Ensures compliance with all global tax laws & withholding requirements, and related reporting requirements, and will stay updated on the changing regulatory and payroll tax environment. Assist in the preparation and processing of vesting and release of restricted stock units, and coordinate with International Payrolls on accurate tax withholding true-up via payroll. Generate recurring reports for multiple internal and external corporate partners (e.g., HR, Payroll, Tax, Finance, Accounting), and respond timely to ad hoc data requests from business partners. Reviewing share and money movement transactions, any changes to the participant's account (title, address, company transfers, jurisdiction changes, etc). Verifying the accuracy of the request, confirming that there are no fraud concerns, and confirming that the stock controlling provider is informed of upcoming stock transfers. Most of the day is spent reviewing and approving transactions. Assist in reconciling transactions and reporting with Finance, Tax and Accounting teams. Maintain equity plan database control sheet, for comparison and reconciling to the database maintained by the Shares Portal Provider. Maintain and complete audit requirements - SOX controls specifically. Manage, maintain and build the relationship with the third party provider. Essential Criteria: Relevant qualification or Employee Benefits & Reward certification Fully functional knowledge and experience on relevant Software Systems Minimum 3 year' Accounting or related experience Knowledge of relevant taxation legislation affecting Shares administration Knowledge of compensation/remuneration practices, and compliance highly Proficient in Microsoft Excel Knowledge of Insider Trading rules and Section 16 filings Knowledge of various types of Equity Awards Desirable Criteria or Experience: Understanding of IFRS - specifically as it applies to Stock Plan reporting 2-3 years of executive compensation experience with medium to large publicly traded companies Certified Equity Professional (CEP) designation Conduct analyses on a broad range of compensation projects, including financial analysis of compensation programs and initiatives Familiarity with common types of annual and long-term incentive vehicles, SEC disclosures such as Proxy statements Develop tools, templates and provide analytical support as needed Maintain ongoing contact with Client Managers, Stock Plan Directors and their staff Implement and monitor internal controls for audit purposes Person Specifications: Adaptability Commitment and Effort Communication Control And Efficiency Planning & Organising Resilience Stress Tolerance Please note we will apply relevance to our Talent Management and Talent Development Programme as part of our recruitment process.
