The AIDS Foundation of South Africa (AFSA) is a Durban-based NGO that acts as an interface between Donors and Community Based Organisations (CBO’s) working in the HIV/AIDS sector, by placing donor funds with strategically selected CBOs, in South Africa, and providing them with ongoing, technical support & capacity building. AFSA has been selected to be appointed by the Global Fund (GF) as one of the Principal Recipients (PRs) that will manage programmes to be funded by the grant. AFSA wishes to appoint suitably qualified individuals to serve in positions specified below & based at the AFSA’s head office in Durban: Job Title: Administrator (logistics) Location: South Africa Remuneration: R16,338 per month, TCTC, gross Purpose of job: To oversee stock management: warehousing, distribution, stock count, ordering. Organise and coordinate logistics for the project, workshops, training courses and meetings. Undertake project administrative activities, including record keeping. Responsibilities include, but are not limited to: Coordinate logistics, warehousing, transportation and customer services. Resolve any arising problems or complaints. Draft and submit requisitions for GF funded programme related activities such as training venues, travel and accommodation and printing of training material and IEC. Liaise with Sub-recipients (SR) on stock management and other project-related logistics. Arrange logistics for meetings: attendance registers, coordinate invitations and venues, take minutes. Work closely with procurement and finance departments and other logistics administrators in the team. Update sub-recipient records and files. Prepare documents for signing and check for completeness and accuracy. Draft logistics SOPs: commodity ordering, storage, stocktaking and distribution. Required qualifications, skills & experience: Health /Social science related degree or diploma or Qualified Pharmacy assistant. Or Diploma /certificate in Logistics or Supply Chain. Valid driver’s licence (code B, issued 2 or more years ago) & willingness to drive –highly desirable. Minimum of three years’ relevant administration work experience Good computer skills: MS excel, word, outlook, PowerPoint. Proficient in standard logistics software & reports –desirable. Excellent analytical, problem solving and organisational skills. Good communication skills: verbal and written. Strong planning, organising and time management skills Good interpersonal and communication skills (both written and verbal) Good numerical skills.
