Warehouse Manager - Johannesburg

As a Warehouse Manager, you will be responsible for overseeing all warehouse operations, including inventory management, staff supervision, and facility maintenance. Your role is crucial in ensuring the efficiency and effectiveness of the warehouse to meet organizational goals and customer expectations.

Responsibilities:

1. Inventory Management: Supervise the receiving, storage, and distribution of materials, products, and equipment. Ensure accurate inventory levels through regular audits and cycle counts. Implement strategies to minimize stock discrepancies and prevent stockouts or overstock situations.

2. Team Leadership: Lead and manage warehouse staff, including recruitment, training, and performance evaluation. Foster a positive work environment that promotes teamwork, accountability, and continuous improvement. Delegate tasks effectively and provide guidance to ensure efficient workflow.

3. Safety and Compliance: Enforce safety regulations and procedures to maintain a safe working environment for all warehouse personnel. Conduct regular safety inspections, provide training on safe handling practices, and ensure compliance with OSHA and company guidelines.

4. Operational Efficiency: Develop and implement warehouse processes and procedures to optimize efficiency and productivity. Streamline workflows, eliminate bottlenecks, and improve turnaround times for receiving, picking, packing, and shipping operations. Utilize warehouse management systems (WMS) and other technology tools to track and monitor operations.

5. Quality Control: Implement quality control measures to ensure accuracy and integrity of inventory transactions. Monitor product quality during receiving and storage processes, and implement corrective actions as needed. Maintain cleanliness and organization of the warehouse to uphold quality standards.

6. Customer Service: Collaborate with sales, customer service, and logistics teams to fulfill customer orders accurately and timely. Respond to customer inquiries and address any issues related to order fulfillment or inventory availability. Strive to meet or exceed customer expectations for service quality and delivery times.

7. Vendor and Supplier Management: Coordinate with vendors and suppliers to ensure timely delivery of materials and products. Maintain good relationships with suppliers and negotiate favorable terms and pricing. Monitor supplier performance and address any issues or discrepancies in a timely manner.

8. Cost Management: Monitor and control operational costs, including labor, equipment, and supplies. Identify opportunities for cost savings and process improvements to optimize warehouse expenses while maintaining service levels. Analyze budget variances and implement corrective actions as needed.

Key Performance Indicators (KPIs) to be Monitored and Tracked by Head of Operations:

1. Inventory Accuracy Rate: Percentage of inventory items that are accurately recorded in the system compared to physical counts.

2. Order Fulfillment Accuracy: Percentage of customer orders fulfilled correctly and on time without errors or discrepancies.

3. On-time Delivery Rate: Percentage of customer orders delivered within the promised delivery window.

4. Warehouse Turnover Ratio: Number of times inventory is sold and replaced within a specific period, indicating inventory management efficiency.

5. Labor Productivity: Measure of warehouse staff’s efficiency in completing tasks, such as units picked per hour or orders processed per employee.

6. Safety Incident Rate: Number of safety incidents or accidents per 100 employees, indicating the effectiveness of safety measures and training programs.

7. Warehouse Capacity Utilization: Percentage of warehouse space utilized compared to total available space, indicating warehouse utilization efficiency.

8. Cost per Order: Average cost incurred to fulfill a customer order, including labor, equipment, and overhead expenses.

9. Supplier Performance Metrics: Metrics such as on-time delivery performance, lead time variability, and quality compliance of suppliers.

10. Customer Satisfaction Score (CSAT): Measure of customer satisfaction with warehouse services, based on feedback surveys or reviews.
