Job Description: We are seeking a highly organized and personable individual to join our team as an Administrator/Receptionist. This role is vital to the smooth operation of our office and the overall satisfaction of our clients/customers. The ideal candidate will be a multitasking professional with excellent communication skills and a positive attitude. Key Responsibilities: Front Desk Management: Greet visitors, answer incoming calls, and provide assistance or direction as needed. Maintain a tidy and welcoming reception area. Administrative Support: Provide administrative support to various departments, including scheduling appointments, managing calendars, and organizing meetings. Correspondence Handling: Manage incoming and outgoing mail, emails. Ensure timely and accurate distribution of correspondence. Document Management: Maintain and update company records, databases, and filing systems. Ensure confidentiality and security of sensitive information. Supply Management: Monitor and replenish office supplies as needed. Coordinate with vendors to ensure timely delivery and competitive pricing. Assist with Projects: Assist with special projects and tasks as assigned by management. Collaborate with team members to achieve departmental goals. Customer Service: Provide exceptional customer service to clients, visitors, and employees. Address inquiries and resolve issues promptly and professionally. Ad-Hoc Duties: In addition to the primary responsibilities, the Administrator/Receptionist may be called upon to perform various ad-hoc duties to support the needs of the office and the organization. These duties may include event coordination, data entry and reporting, travel arrangements, problem-solving, special projects, and cross-functional support. Previous experience in a similar role preferred. Proficiency in Microsoft Office suite (Word, Excel, Outlook). SAP knowledge would be advantages. Strong organizational and time management skills. Excellent verbal and written communication skills. Ability to prioritize tasks and work efficiently in a fast-paced environment. Professional demeanor and customer-focused attitude.
