As the Assistant Bookkeeper you will be responsible for the organization and recording of the daily financial operations and the handling of invoices for accounts payable, petty cash, invoicing, etc. This role requires attention to detail, strong organizational skills and the ability to manage multiple tasks simultaneously. Key Responsibilities 1. Accounts Payable and Receivable: Manage incoming and outgoing payments, including invoicing, processing payments, and reconciling accounts on Pastel and Your Membership. Attend to supplier and debtor queries. 2. Administrative Support: Provide general administrative support to the Association as needed including collecting cash-up from the commercial units. Banking excess cash and ensuring there is adequate change available for business units. Follow up on newspaper subscriptions. Check credit card balances. 3. Petty Cash: Manage and write-up of Petty Cash. Reconcile Petty Cash on a weekly basis. 4. Invoicing: Check and Process customer invoices and attend to customer queries regarding statements and invoices. Analyse debtors. 5. Debit Orders: Processing of membership Debit Orders on the 15th and 25th of every month. Reconcile amounts collected compared to the prior month. Identify members with unpaid debit orders and inform the membership department. 6. Filing and Archiving: Archiving of all finance documents when required. 7. Compliance: Ensure compliance with relevant laws and regulations before capturing payments for authorisation. 8. Capturing payments: Check supporting documents for payment. Cast invoice and check VAT requirements are adhered to. Ensure invoices clearly describe the allocation of costs. Ensure all invoices are received on time for payment processing. 9. Rotating back-up tapes for the server: Rotate back-up tapes daily. Write up documentation for backup taken offsite on a weekly basis. 10. Other duties: Assist with other duties relating to the Finance department or the Association as a whole, which may reasonably be expected of an employee in this position. QUALIFICATIONS, KNOWLEDGE, AND SKILLS A relevant qualification in Bookkeeping or Accounting. Must have a working knowledge of Pastel, Excel, and Word. Good computer skills. Knowledge of relevant legislation and regulatory requirements. Deadline-driven. Confidentiality. Must be able to use own initiative. Have good communication skills.
