Exec PA - Pretoria

Hiring: Executive PA to support top management with organisation, scheduling, correspondence and meetings.

The ideal candidate needs to be dynamic with excellent attention to detail and be meticulous.

Duties And Responsibilities

· Organise and schedule meetings

· Prepare meeting agendas, perform research for meetings, and take minutes during meetings

· Maintain office correspondence

· Perform reception duties such as answering phones where necessary

· Manage the diaries and schedules of senior management

· Liaise with clients and business guests

· Organise media appearances and events

· Manage internal projects and follow-up with team members where required

· Maintain a strong working relationship with other departments

· Liaise with other staff members on behalf of senior management

· Prepare and deliver monthly reports

· Preparing PowerPoint presentations and Excel documents as required

· Printing and binding presentations

· Travel Coordination – including the booking of flights, accommodation, transfers, and submission of applications for visas

· Monthly management of travel and expenses processes

· General administrative support which includes – producing letters, booking couriers, taxis, rooms, managing stationery, organizing team events etc.

· Answering team phones when they are not able to, taking messages and responding where necessary

· Responding to and following up on emails and delegating if necessary

· Organising team events as required

· Ad hoc project work

Qualifications

· Formal Executive Assistant Training

· Tertiary Degree/ Diploma beneficial

Experience

· A minimum of three (3) years as an Executive Assistant

Candidate needs to reside in Centurion/Pretoria.
