Role Purpose

To provide comprehensive support to the CEO and President, facilitate/coordinate communications, engage stakeholders, foster partnerships through the office of the CEO’s day-to-day operations, and facilitate the efficient and effective functioning of the office of the CEO.

Responsibilities

  • Provide a strategic and confidential support services to the Chief Executive Officer, President and Deputy President in all aspects and to be the sole point of contact and reporting in office of the CEO.
  • Manage the CEO’s office to achieve the best use of the available resources and the time of the CEO including document review, sign-offs and quality control;
  • Engage with all relevant stakeholders to facilitate communications coming from the CEO’s office and President;
  • Provide administrative support and assistance to the CEO and to facilitate an efficient operation of the organization;
  • Strategically support with review and preparation of reports and documents before EXCO meetings (e.g. tagging/ highlighting issues/ challenges to provide the CEO with a snapshot view of the report/document and its progress/ findings/ risks);
  • Manage the receipt and distribution of correspondence to the CEO, receive and distribute documents;
  • Manage confidential and sensitive information with discretion and professionalism;
  • Compile and edit various documents, reports, and presentations as per the CEO’s request;
  • Submit, prepare, present and obtain necessary sign-offs from the CEO on any business documents, business reports, presentations and communicate these to the business and other identified stakeholders;
  • Work in conjunction with all departments to coordinate organizational performance plans, reports and evaluation;
  • Daily efficient diary management of the CEO, and President scheduling of upcoming commitments, analyse meeting requirements and ensure that the meeting objectives are realistic and preparation is appropriate;
  • Keeping the respective diaries up to date with the fixtures (provincial, national, and international) and communicates diary updates with relevant stakeholders;
  • Ensure the provision of accurate and current advice regarding the CEO’s functions to all stakeholders.
  • Ensure quality of service is provided to internal & external stakeholders.
  • Organise and efficiently coordinate travel arrangements for the CEO and the Presidency, and at times inclusive of the EXCO members and all relevant stakeholders.
  • Efficient logistics administration - prepare, arrange travel itineraries, visas, travel allowance, claims and ensure that relevant stakeholders are timeously notified of changes.
  • Perform other duties and responsibilities as assigned by the CEO.

Requirements

Educational background

  • 3 years business management/ administration degree (Essential)

Experience

  • 3 – 5 years’ experience in executive support, strategic management, stakeholder engagement, or a related role. (Essential)
  • 3-5 years’ experience in a sports or similar environment in supporting role (Desirable)
