Our client is a professional skills development body looking for an experienced and dynamic Executive Personal Assistant with strong administrive skills and finance business acumen. Experience in the higher learning accreditation field would be preferable. Please ensure that you meet the MINIMUM requirements before applying for this position. Main Purpose of the Job The purpose of this job is to manage administrative tasks such as taking minutes, handling correspondence, and organizing board meetings, as well as coordinating travel arrangements for executives and staff. This includes ensuring the smooth organization of the managing Executive's activities, planning and managing events, organizing meetings, managing internal communication, and providing general administrative support. Key Performance Areas Administrative Support: Provide comprehensive administrative support to the leadership team and faculty members. Manage calendars, scheduling meetings, arranging travel logistics, and handling correspondence. Event Coordination: Coordinate and manage events (workshops, seminars, and training sessions). Liaise with vendors, arrange venue logistics, manage attendee registrations, and ensure smooth execution of events. Document Management: Maintain an organized system for storing and retrieving important documents (training materials, accreditation certificates, and administrative records). Ensure that all documents are accurately labelled, filed, and easily accessible to relevant stakeholders. Communication Liaison: Serve as a central point of contact for internal and external communication, including phone calls, emails, and inquiries. Relay messages, disseminate information, and facilitate communication between staff members, clients, and partners. Project Assistance: Provide project assistance to various initiatives (curriculum development, accreditation processes, and quality assurance activities). Assist in gathering data, preparing reports, and monitoring project timelines and deliverables. Stakeholder Engagement: Assist in maintaining relationships with stakeholders, including internal staff, external partners, training participants, and regulatory bodies such as the Quality Council for Trades and Occupations (QCTO). Coordinate meetings, follow-ups, and communications to ensure effective engagement. Quality Assurance Support: Support the implementation of quality assurance processes and procedures in alignment with accreditation requirements set forth by the QCTO and other relevant regulatory bodies. Assist in documentation, audits, and continuous improvement efforts. Resource Management: Assist in managing resources effectively, including budget tracking, procurement of supplies, and inventory management. Ensure that resources are utilized efficiently and in accordance with organizational policies and procedures. Professional Development: Stay informed about developments in the field of internal audit, skills development, and accreditation standards. Participate in relevant training programs, workshops, and conferences to enhance professional skills and knowledge. Confidentiality and Discretion: Maintain utmost confidentiality and discretion in handling sensitive information, such as personnel records, financial data, and strategic plans. Adhere to ethical standards and organizational policies regarding data protection and confidentiality. Behavioural Competencies Good interpersonal skills. The ability to plan effectively. Good organisational skills. Legal Requirements No criminal record. Valid Driver's Licence. MINIMUM REQUIREMENTS: Education Grade 12 Tertiary Qualification (preferred) – Business or Finance related. Experience At least 3 - 5 years experience in an executive assistant position including supporting EXCO. Computer software Microsoft Office Suite (advanced) R300 000.00 p/a ctc Apply Now
