Position Overview:
As an Executive Secretary to the Managing Director, you will play a critical role in supporting the highest-ranking executive within our banking organisation. Your responsibilities will include managing administrative tasks, maintaining confidentiality, and ensuring seamless communication between the Managing Director and various stakeholders.
Key Responsibilities:
- Calendar Management:
- Organize and maintain the Managing Directors schedule, including appointments, meetings, and travel arrangements.
- Prioritize and coordinate conflicting commitments efficiently.
Communication:- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Draft and proofread documents, reports, and presentations on behalf of the Managing Director.
Meeting Coordination:- Schedule and prepare for board meetings, executive committee meetings, and other high-level gatherings.
- Attend meetings, take accurate minutes, and distribute them to relevant parties.
Security Clearance and Confidentiality:- Understand the sensitivity of information handled by the Managing Director.
- Ensure strict confidentiality and comply with security protocols during the vetting process.
Stakeholder Engagement:- Interact with internal and external stakeholders, including clients, regulators, and senior executives.
- Represent the Managing Director professionally and maintain positive relationships.
Travel Arrangements:- Arrange domestic and international travel for the Managing Director.
- Coordinate logistics, accommodations, and itineraries.
Record Keeping:- Maintain accurate records, files, and databases.
- Retrieve information as needed for decision-making.
Qualifications:
- Diploma in Business Administration, Secretarial Studies, or a related field.
- Proven experience as an Executive Secretary or Personal Assistant to senior executives.
- Excellent organizational skills and attention to detail.
- Proficiency in office software (Microsoft Office Suite, email, calendar management).
- Strong communication and interpersonal abilities.
- High-level security clearance (to be conducted during the vetting process).
