Job Description: Our client, a respected construction firm based in Pretoria East, requires an experienced Personal Assistant to support their Directors with administrative tasks, including invoicing, monthly project claims, and managing bill of quantities. Proficiency in Excel, payroll management, and familiarity with Xero accounting software are essential for this role.
Responsibilities:
  • Manage administrative duties for the Directors, including scheduling, correspondence, and project documentation.
  • Utilize Excel and Xero for accurate financial record-keeping, invoicing, and monthly project claims.
  • Assist with payroll processing and ensure compliance with regulations.
  • Coordinate travel arrangements and accommodations for business trips.
  • Prepare reports, presentations, and documents as required.
  • Act as a liaison between the Directors and internal/external stakeholders.
  • Handle confidential information with discretion.
Requirements:
  • Previous experience as a Personal Assistant, preferably within the construction industry.
  • Fully proficient in Afrikaans and English
  • Proficiency in Microsoft Excel, including formula creation, pivot tables, and chart generation.
  • Experience with invoicing, monthly project claims, and managing bill of quantities.
  • Familiarity with Xero accounting software and payroll processing.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Excellent communication and interpersonal abilities.
  • Own transport
  • Bachelor's degree in Business Administration, Finance, or related field preferred.
