Established fruit exporter is seeking to employ a Logistics Coordinator and Port Representative (Durban) with a Logistics degree or relevant industry work experience. Successful candidate must be able to work independently and under pressure. Key Performance Area Client Communication: Transporter management Operational Administration Port vehicle management Vehicle offloading Administration Performance monitoring Key Activity Daily orders Ad-hoc orders Communicate ETA’s/Details Vehicle status Check additional loads Vehicle sourcing Manage arrival time Ad-Hoc price Manage late vehicles Tracking Ad-hoc Loads Sourcing Capture data on Datatim/TMS Send load confirmations Booking Slots Special Permits Assist other logistic coordinators POD capturing Invoice Queries Claim Process Daily activities Risk Management Cold store planning Communicate deviations Data management Decrease standing times/monitor offloading times Ensure all cargo is handled with care Assist vehicles with damaged pallets Ensure product stays in protocol PO Files Claims Harbour Permits Assist other departments Stock levels Forecast Key Result Indicator Receive daily orders 1 day in advance of planned loading Contact all clients daily to inquire regarding planned loads Communicate eta’s and vehicle details to clients Daily feedback to clients on status of en-route vehicles Phone clients at 10:00 to double check any possible additional loads Source vehicles from transporters on our database Follow up on vehicles that must load on the day to ensure no delays Manage the price of ad-hoc vehicles Ensure minimum ‘stand-over’ loads by identifying late vehicles and replacing them with new vehicles. Follow up on vehicles when loaded and on route to offloading point. Source ad-hoc loads for permanent vehicles in Durban All loads to be captured on Datatim/TMS All transporters to have load confirmation on day of loading Book vehicle offloading slot (where applicable), and communicate to transporter Ensure all vehicles that require special permits have valid permits Assist coordinators with operational tasks when required Assist finance dept with POD data capturing when required Assist finance department with all queries on documentation within 24 hours of queried Understand and follow claim process Assist manager where needed Ensure all transporters have valid GIT, and ensure all clients are within credit limits Ensure all trucks are booked, and cold store have space available Ensure all late vehicles are re-booked/communicated Capture completed times on Datatatim Monitor vehicles and communicate with CS if vehicles are standing for more than 2 hours. Season target less than 4 hours Visit intake areas of all cold stores at least once every 2 days Communicate damages, and the extend with Port QC, and decide best cause of action Spot check steri cargo at cold stores Spot-check products for protocol and time temperature Inform and assist clients for all vehicles without PO File. Inform Claims Administrator of all possible claims, accompanied by report and photos Assist vehicles without harbor permits Assist all fruit departments that require assistance with fruit related issues Monitor stock levels of cold stores, and communicate to team Compile weekly depot forecast for all depots Education required Matric Logistics degree or relevant industry work experience beneficial Skills required Must be able to work independently, must be able to work under pressure High levels if communication skills Energetic and innovative Able to work long & flexible hours – night shifts in citrus season, as well as weekends High level of computer skills (Datatim/Power Bi/MS Office/Qlikview)
