Project Manager: Finance (Wits Ezintsha) - Krugersdorp

Introduction Ezintsha is a group of South African academics and health professionals who work with partners around the world. They apply new technology to health-related problems and work to extend access to effective drugs so that quality health care and medicine is available to everyone. Ezintsha is a newly formed sub-division of Wits Health Consortium, which is part of the University of the Witwatersrand, based in Johannesburg, South Africa. Description Main purpose of the job: This position will work with the Divisional Finance Manager to achieve effective management of Ezintsha’s finances and sustainability This includes working with a variety of cross-functional team members, project leads, external funders, and partners Projects may be complex, often multi-million dollar, grants or commercial funding The position is key to the oversight, analysis, and achievement of the sustainable financial health of the projects and the organization Specifically, through the development of finance-related deliverables and compliance in line with funder regulations and requirements Location: Ezintsha, Parktown – Johannesburg Key performance areas: Support the administration of awarded grants and contracts, including: Working with the finance team to ensure new grants and funding are correctly set up in the accounting system and other start-up requirements are in place (e.g. bank accounts) on time Monitoring and assisting compliance with donor regulations and requirements, (e.g. pre-approvals, procurement, reporting, invoices, payment requests, audit readiness, award close-out) Monitoring of spend against grants to ensure alignment with project timelines, budget, and forecast Supporting cost recovery of indirect fees and ensuring the provision of appropriate documentation to support this recovery Preparation and finalization of financial donor deliverables, including working with the project team and partners to attain accurate and timely financial information, reviewing, and ensuring accurate financial reporting Working closely with project leads to ensure strong links between projects and their budgetary and financial status and reporting, including support to identify and rectify compliance, financial, and risk issues Supporting the development of ad hoc reports, analyses, and financial inputs for work planning, budgets, and forecasts Develop, manage, and maintain financial reporting systems and information systems and effective financial controls. Implement and manage financial policies and procedures Preparation and coordination of budgets and financial reports. Manage all accounting transactions (initiation of purchase orders, payment motivation vouchers) Map out financial reporting and contractual requirements and ensure all budgets, financial reports, and other relevant outputs are generated and submitted timeously to stakeholders Track invoices/payment requests/accounts receivable and work with the project team to ensure timely payments are received Contribute to the achievement of best practice grant management, including the development of standardized processes and tools Work alongside other staff and build capacity to implement better practices related to the implementation and operationalization of grants and budgeting. This may include the preparation of training sessions and materials, and the provision of one-on-one sessions with team members where necessary to provide understanding and guidance to others Required minimum education and training: Bachelor’s Degree in business management, administration, finance, accounting, or a similar field, or an equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position Required minimum work experience: At least 3 years of hands-on work experience working with grant funding, grant compliance, financial principles, audits, and reporting, in the field of international/institutional donors, (e.g. USAID, NIH, Gates Foundation, Unitaid) Desirable additional education, work experience, and personal abilities: Experience with donor-funded, large-scale, multi-currency, multi-year projects with sub-awards Eager to play a key role in the organizing of Ezintsha’s finances A flexible and adaptable work style; open to collaboration with strong personalities; ability to thrive in a fast-paced, evolving work culture Excellent levels of written and verbal communication with the ability to engage meaningfully and effectively across all teams and projects Ability to explain financial matters to non-finance team members Keen analytical, organizational, and problem-solving skills Attention to detail - high standards with a low threshold for errors and inefficient processes TO APPLY: Only if you do meet the minimum job requirements and experience as mentioned above, you may submit a detailed updated CV.
