Job title: Sales Administrator Area: Silverlakes Pretoria Industry: Architecture / Interior Design Salary / CTC : R 25 000 (negotiable) Reports to: Architects and Directors JOB DESCRIPTION Our Client is seeking a meticulous and highly organised Sales Administrator to become an integral part of their dynamic team. The ideal candidate will play a pivotal role in ensuring the smooth functioning of their sales department by efficiently managing a range of administrative tasks associated with the sales process. This includes the accurate processing of quotations and invoices, meticulous data entry, proactive customer follow-up, and proficiency in utilizing accounting software and administrative tools. ROLES AND RESPONSIBILITIES Quotation and Invoice Processing: Prepare and process precise and timely quotations for their diverse range of products and services. Generate and meticulously manage invoices, ensuring adherence to company policies and meeting specific customer requirements. Collaborate seamlessly with the sales team to gather the necessary information for creating accurate and competitive quotations and invoices. Sales Data Entry and Management: Efficiently capture incoming sales orders into system, ensuring accuracy and completeness. Maintain an organised and up-to-date database of customer information, orders, and transactions. Regularly update sales records and reports for comprehensive tracking and analysis. Customer Follow-up: Implement a proactive approach in following up with customers to ensure satisfaction, address any concerns, and foster long-term relationships. Collaborate with the sales team to gather valuable feedback and insights from customers, contributing to continuous improvement initiatives. Proficient in Xero Accounting Software: Utilise Xero accounting software for seamless financial transactions, including invoicing, reconciliation, and detailed reporting. Ensure the Xero platform is updated with accurate and current financial data. Administrative Excellence: Showcase strong administrative skills in organising and maintaining sales-related documents, contracts, and correspondences. Provide vital support to the sales team by handling administrative tasks to streamline processes and enhance overall efficiency. Excel Proficiency: Utilise advanced Excel skills to create and maintain detailed spreadsheets for sales data analysis, reporting, and tracking. Generate insightful reports and summaries to assist in decision-making processes. Overall Finance Skills: Possess a solid understanding of financial principles to contribute to budgeting, forecasting, and financial analysis. Collaborate seamlessly with the finance department to ensure accuracy and consistency in financial reporting. Qualifications: Proven experience as a Sales Administrator or in a similar role. Proficiency in using Xero accounting software.
