Job Description Supervisor Objective You will be responsible for supervising, motivating, coordinating, and providing leadership to the the company Retail team. You will maintain an awareness of the daily operational needs of the retail outlet, ensuring optimal functioning. In addition, improving efficiencies through adhering with the company's systems and procedures, ensuring excellent customer service levels are maintained and help achieve the company's mission and goals. You are required to fulfill the following employment duties to the best of your ability: Primary Responsibilities Supervise the employees: Schedule work rosters in line with operational requirements Delegate tasks in line with their job functions. Motivate your team and drive their performance. Communicate effectively with your team regarding daily goals. Ensure your team complies with company policies and procedures. Ensure hygiene inspections are conducted every morning before the retail outlet starts trading. Ensure that the factory shop inspection checklist is accurately and diligently completed daily. Ensure that an efficient, friendly service is consistently provided to our customers. Ensure the company's Retail outlet environment is conducive to a pleasant shopping experience. Make recommendations to customers on the company products. Address customer queries and ensure customer satisfaction. Be presentable at all times and ensure team compliance with company dress code policy. Monitor and manage product stock levels to ensure adequate stock is available for sales. Communicate any stock requirements to Head Office timeously. Monitor the various in-store product sales and product requests in order to provide input that can enhance our retail sales. Ensure that you accurately count stock as received ensuring that quantities align. Ensure that you inspect and approve all stock received and communicate any non-conformances to Head Office immediately. Ensure that all stock movements are assigned to the relevant paperwork which must be signed in order to comply with in/out stock movement authorization. Ensure accurate stock counts are conducted: According to daily stock check schedule Against theoretical values on system Communicate any stock count discrepancies to Head Office immediately. Accept overall responsibility for stock once received. Accurately record and manage the sample products for your retail outlet. Hands on supervision of your staff and ensure that they adhere to the standard operating procedures and conduct regular checks throughout the day. Ensure that you plan and communicate the weekly staff roster timeously ensuring that you team and Head Office is fully aware of the work schedule. Ensure that the time and attendance register is completed accurately and submitted to Head Office daily. Submit all proof of absence and medical certificates to Head Office daily. Conduct training with team members as needed. With the assistance of HR, monitor your team performance and provide feedback for improvement. Work with HR to conduct counselling with your team (performance and discipline). Monitor effectiveness of your departmental procedures. Ensure compliance with the company Cash Handling Policy: Ensure that all product is scanned through with every transaction Ensure all transactions are processed through the tills. Ensure that refunds are authorized by the supervisor. Ensure accurate sales transactions. Ensure accurate (live) processing of refunds. Ensure cash drops are processed correctly and accurately. Ensure cash ups are done at the end of every shift. Audit end of day cash ups and irregularities (no shortages and/or overs). Ensure that any functionality problems with the point of sale and/or electronic devices are immediately communicated to Head Office Ensure cleaning and maintenance standards are maintained: Freezers must be neat and tidy with products packed correctly. Non-conforming product must be isolated in a separate section of the freezer room. All products must be neatly packed and displayed. Windows must always be clean. All areas inside the retail store must be neat and clean. Ensure daily security protocols are complied with. Ensure that you conduct monthly safety inspections. Take personal responsibility for your actions and accept accountability for your duties. Be reliable, responsible, and committed. Comply with company policies and procedures. Adhere to all health and safety policies and procedures. Adhere to all food safety policies and procedures. Any other duties which management may reasonably assign. Secondary Responsibilities Assist with serving customers with orders. Assist with operating the till when there is only one Cashier on duty for the day. General tasks as might be requested. KPI Targets Your performance will be measured according to the following: Task Standard Accurate daily cash up. Accurate cash drops Ensure accurate cash up with no shortages. Ensure accurate cash up with no overs. Ensure accurate speed point transactions Accurate Cash Drops Ensure accurate cash drops. Ensure all cash drops are accurately recorded. Ensure accurate handling of cash transfer to the company approved cash-in-transit contractor Condition of the freezers and retail outlet Ensure that the factory shop is neat and clean at all times. Ensure that the windows are clean, and the shopfront is presentable. Ensure the freezers are neat and clean at all times. Ensure that the freezer temperatures are within specification, recorded and submitted to Head Office daily. Ensure that the back-office door is closed, and the area is well organized. Stock management Ensure that all products are replenished timeously to ensure availability for sales. Ensure accurate stock counts against daily stock check schedule. Ensure accurate stock counts for on-demand stock assessments requested by management. Ensure accurate stock counts during December and January are conducted at least once per week. Ensure that your departmental stock balances. Staffing requirements Ensure that you maintain operations within the staffing budget. Ensure that you forward accurately, completed attendance registers daily. Good personality Communicate effectively.
