Our client is urgently looking for an Admin Assistant to assist in the Bid Office and with General Office Administration for a period of 4 months relieving the departments during the maternity leave period of 2 employees. Key Responsibilities: Administration Responsibilities (a) Training Support the recruitment, onboarding, and training of new employees. Coordinating external training for Employees and Students. (b) Students Programme Coordinate Interview and Onboarding of students. Internship Programme Management. (c) Office Administration Handling telephone calls and direct to relevant Business Units or person (Transferring calls only when necessary). Channel email communication enquiries to relevant people when necessary. Coordinate with building management for office maintenance and repairs (Report any faults through the TSA Portal or email – login details or support email required). Managing meeting room availability. Handling Approved travel arrangements for all employees. Managing office inventory such as stationery, etc. Manage and Coordinate communication with the office cleaning assistant. (d) Company Meetings/Events Coordinating and arrange internal and external company events. Arrange and Chair Company meetings. Manage logistics and gifting, if required. Monthly reporting on training in monthly wrap sessions. (e) Recruitment (New Employees or Students) Assist in scheduling of interviews. Assist the candidates with all necessary logistics information to attend the interview. Communicate interview or employment offer outcome to the candidate. (f) Employee on-boarding Arrange for access on all the system (log a call to our internal systems). Coordinate new Employee Form and forward to Finance for capturing. Arrange biometrics registration with TSA office for the new employee. Solace: if employee is permanent arrange employee registration form from Solace and forward to Finance once complete. Induction: Arrange and coordinate induction for new Employee with all business Units. (g) Employee off-boarding The reverse of Employee Onboarding. Send Exit Interview questionnaire to the Employee in preparation for the interview session. Arrange for Exit Interview with HR. (h) General company communication Communicate companywide related matters, Birthdays, MEMOs, CEO Communication. (i) Coordination of employee wellness programme Onboarding of employees to the wellness programme (Solace). Coordinate wellness sessions with Solace (Service Provider). Communicate wellness material to all employees. Update Solace with any changes on employees or their profile, including off-boarding employees. (k) Bid-Office Support the bid process across the team's portfolio of customers to ensure delivery of high quality Accurate project proposals Support the team to execute bid preparation for bids as well as support the overall team with sales and pipeline related tasks, Preparation, completion and sign-off bid documents with delegated official, Coordinating the necessary bid meetings (bid qualifications, status updates, review meetings, etc.) Draft and record quality minutes, Conduct weekly tender search of new alerts and produce a quality report, Attending briefing sessions and debriefing the team/ produce debrief report, Assist in ensuring successful and on-time delivery of bids to respective clients, Assist in ensuring back-up of data and document management is adhered to, Support the team in preparation of teaming agreements for legal review, Assist in following up on the status of submitted bids and report back, Time management Business administration Qualification A minimum of 1-3 years relevant experience in business administration Experience in working with tenders/proposals is preferable
