Reference: JHB002545-Boipe-1 We Are Recruiting For A Bid Administrator Based in Centurion Bid Management - Senior Bid Administrator Reporting to Bid & Recruitment Manager You will have Oversight of the Junior Bid Administrator and Supplier Registrations Administrator WORK EXPERIENCE At least 2 years' experience in a comparable role Computer Literacy: MS Office: (Word, Excel, PowerPoint) Visio and Microsoft Project advantageous Knowledge and experience of working on Public Sector Tenders Extensive experience in preparing, coordinating, and managing bids, as well as a deep understanding of procurement processes and tender regulations. Experience in ICT advantageous TASKS/ ACTIVITIES The Tender Administrator is responsible for managing the tender process from inception to completion, ensuring timely and accurate submission of tenders. Respond to Product Tenders and Large Quotations Lead the entire tender process, including pre-qualification, preparation, submission, and post-tender activities. Develop and maintain a detailed tender schedule, ensuring all deadlines are met. Identify and source new tenders daily on various tender sourcing platforms in both public and private sectors Ensure that all tender administrative tasks are completed comprehensively and on time Tender database registration/ supplier registration Collaborate with the team to assist with the compilation of completed proposals Arrange and coordinate strategic meetings between decision makers Format and proofread tender documents for accuracy and completeness. Ensure that presentation and business proposal documentation are collated and presented in a professional manner Liaising with supply chain personnel with regards to tender queries Ensure professional client relationships Attend briefing sessions when required Ensure timely liaison with clients. Ensure that all company supporting documents are included in the tender document. Ensure all tender compliance documents are in place. Ensure all company documents/details are up to date Updating and compiling of supporting documents with regards to required documents for tenders. Delivering accurate tender progress reports Maintain tender register Provide accurate tender communication to management. Compilation of final bid documents, and coordinate arrangements to deliver final documentation to the client within the defined tender deadlines and in the correct format Submission of tenders timeously Other duties as assigned Briefing Session Assignments and reminders Manage stationery inventory Manage and Download the CSD Reports weekly Engage Distributers and OEM's maintaining a good working relationship Manage OEM accreditations Managing Orders for tender awards when required which includes customer engagement Attending Project and Contract meetings when required QUALIFICATIONS: (Advantageous) Bachelor's Degree or Diploma in Business Administration, Supply Chain Management, Finance, Accounting, or a related field
