Compliance/Estate Administrator required to join the team of a large JHB based residential estate. Minimum Requirements 5 years' experience as Paralegal/Legal Secretary/Administrator/Comapny Secretary with good knowledge of conveyancing and legislation. Overview of position Ensure that MOI and governing deeds are up to date with any changes in legislation. Draft these changes for approval at General Meetings. Develop and oversee control systems to prevent or deal with violations of governing deeds. Revise controls and procedures, reports etc. periodically to identify hidden risks or non-conformity issues. Draft the company policies and ensure these are approved and implemented. Consult with the Board, external legal advisors, Finance and HR to monitor enforcement of standards, policies, governing deeds, codes, and regulations. Review commercial agreements and ensure ongoing compliance of these. Ensure HOD's are monitoring service level agreements and report on any issues of non-compliance. Instruct the company's attorneys on various legal matters and monitor progress. Interaction and correspondence with homeowners on matters pertaining to Governing Deeds and MOI. Advise homeowners, architects and contractors on regulatory requirements and estate rules. Inspect construction sites to confirm compliance and fitness for occupation. Monitoring and control of all building activities, this may involve physical inspection and follow up. Keep abreast of regulatory developments within or outside of the company as well as evolving industry best practices. Prepare reports for the company's Board and senior management as appropriate. Timeous and correct action relating to non-compliance incidents. Communication with professional bodies & local council. Convene monthly architectural committee meetings. Ensuring compliance on building projects through ARC activities, plan scrutiny fees, builders code of conduct, building fees & deposits, builders boards etc. Interaction and correspondence with homeowners and external parties relating to property transactions (including purchases, sales, and rentals) and ad hoc matters such as disputes, complaints, non-/faulty payments, other transgressions. Follow up on outstanding fines and penalties and ensuring breaches have been remedied. Liaison with maintenance, landscaping, golf course maintenance and other relevant parties when dealing with complaints or incidents from homeowners. Salary Bracket R30 000 to R60 000 p/month CTC, depending on experience, qualification(s) and current/previous salary
