My client a NPO is looking for a vibrant and intellectual remote Event and Projects Coordinator. The Event & Project Coordinator is responsible for internal communication, planning, organising, and executing a variety of events and projects within the association. This role involves coordinating various aspects of events; managing resources; coordinating communication & monitoring communication channels and ensuring the successful planning and delivery of projects while adhering to timelines and budgets. Event Planning: - Collaborate with the CEO, internal teams and external partners to conceptualise, plan, and execute a wide range of events, including conferences, seminars, meetings, workshops, webinars and other and association gatherings. - Coordinate with speakers and presenters as needed. - Manage event budgets, track expenses, and negotiate contracts with vendors and suppliers. - Scheduling of events on platforms used to host the virtual events on platforms such as YouTube streaming, Facebook Live, Zoom Webinars etc. - Select suitable event venues and coordinate all logistical aspects, such as catering, audiovisual equipment, transportation, and decorations. - Create detailed event timelines, schedules, and checklists. - Assist and liaise with the office staff regarding event set-up, event registration and attendee communications. - Evaluate event success through post-event analysis and feedback collection. Communication and Coordination: - Collaborate with the CEO and internal teams to develop and implement a comprehensive communication strategy to support SASLHA's goals. - Liaise with internal team and external stakeholders, including vendors and sponsors. - Monitor social media channels & WhatsApp groups, engage with the audience, and escalate issues as needed. Address inquiries and resolve issues promptly. - Ensure effective communication channels among team members. - Assist the Office staff to manage participant or attendee communication. Project Management: - Define project objectives, goals, and scope. - Develop comprehensive project plans, including task assignments, timelines, and resource allocation. - Monitor project progress, identify and mitigate risks, and ensure adherence to deadlines. - Maintain project documentation and records. - Communicate regularly with project stakeholders and team members. - Evaluate project outcomes and performance. - Prepare post-event and project reports. Bachelor's degree in event management, project management, business, or a related field (preferred). - Proven experience in event planning and project coordination. - Proficiency in event management software and project management tools. - Strong organisational, time management, and multitasking skills. - Excellent written and verbal communication skills. - Creative thinking and problem-solving abilities. - Attention to detail and a commitment to quality. - Ability to work well under pressure and meet deadlines. - Flexibility to work evenings and weekends, when required.
