Requirements:
- Event Planning and Coordination:
- Plan, organize, and coordinate various events from conception to completion.
- Develop detailed event plans, including timelines, budgets, and task lists.
- Manage event logistics, including venue selection, catering, audio-visual equipment, and transportation.
- Client Relations:
- Serve as the primary point of contact for clients, ensuring their needs and expectations are met.
- Maintain professional service to ensure customer satisfaction and foster client loyalty.
- Conduct client meetings, site inspections, and open day viewings.
- Budget Management:
- Develop and manage event budgets, ensuring all expenses are tracked and within budget.
- Negotiate contracts with vendors, suppliers, and service providers to achieve cost savings.
- Vendor and Supplier Management:
- Coordinate with vendors and suppliers to ensure timely delivery of services and products.
- Maintain strong relationships with caterers, decorators, DJs, and other service providers.
- Oversee the setup and breakdown of event venues.
- Marketing and Promotion:
- Promote events through social media platforms, including Facebook, Instagram, and LinkedIn.
- Update and manage the company's online presence and event listings.
- Develop marketing materials and promotional campaigns to increase event attendance.
- Onsite Event Management:
- Oversee the execution of events, ensuring all activities run smoothly.
- Manage event staff, volunteers, and interns to ensure they perform their duties effectively.
- Address any issues or emergencies that arise during events promptly and professionally.
- Post-Event Activities:
- Conduct post-event evaluations to gather feedback and assess the event's success.
- Prepare and present post-event reports, including financial summaries and attendee feedback.
- Identify areas for improvement and implement changes for future events.
Qualifications:
- Bachelors degree in Event Management, Hospitality, Marketing, or a related field.
- Minimum of 3-5 years of experience in event planning and coordination.
- Proven track record of successfully managing large-scale events.
- Excellent organizational, time management, and multitasking skills.
- Strong negotiation and budget management skills.
- Proficiency with event management software and tools.
- Strong written and verbal communication skills.
- Ability to work well under pressure and meet tight deadlines.
