Events Coordinator - Midrand

Requirements:

  • Event Planning and Coordination:
    • Plan, organize, and coordinate various events from conception to completion.
    • Develop detailed event plans, including timelines, budgets, and task lists.
    • Manage event logistics, including venue selection, catering, audio-visual equipment, and transportation.
  • Client Relations:
    • Serve as the primary point of contact for clients, ensuring their needs and expectations are met.
    • Maintain professional service to ensure customer satisfaction and foster client loyalty.
    • Conduct client meetings, site inspections, and open day viewings.
  • Budget Management:
    • Develop and manage event budgets, ensuring all expenses are tracked and within budget.
    • Negotiate contracts with vendors, suppliers, and service providers to achieve cost savings.
  • Vendor and Supplier Management:
    • Coordinate with vendors and suppliers to ensure timely delivery of services and products.
    • Maintain strong relationships with caterers, decorators, DJs, and other service providers.
    • Oversee the setup and breakdown of event venues.
  • Marketing and Promotion:
    • Promote events through social media platforms, including Facebook, Instagram, and LinkedIn.
    • Update and manage the company's online presence and event listings.
    • Develop marketing materials and promotional campaigns to increase event attendance.
  • Onsite Event Management:
    • Oversee the execution of events, ensuring all activities run smoothly.
    • Manage event staff, volunteers, and interns to ensure they perform their duties effectively.
    • Address any issues or emergencies that arise during events promptly and professionally.
  • Post-Event Activities:
    • Conduct post-event evaluations to gather feedback and assess the event's success.
    • Prepare and present post-event reports, including financial summaries and attendee feedback.
    • Identify areas for improvement and implement changes for future events.
Qualifications:
  • Bachelors degree in Event Management, Hospitality, Marketing, or a related field.
  • Minimum of 3-5 years of experience in event planning and coordination.
  • Proven track record of successfully managing large-scale events.
  • Excellent organizational, time management, and multitasking skills.
  • Strong negotiation and budget management skills.
  • Proficiency with event management software and tools.
  • Strong written and verbal communication skills.
  • Ability to work well under pressure and meet tight deadlines.
  • Creative and detail-oriented mindset.
  • Proficient in Microsoft Office Suite and social media platforms.
Preferred Qualifications:
  • Experience in coordinating corporate events and functions.
  • Knowledge of marketing and promotional strategies for events.
  • Familiarity with audio-visual equipment and event technology.
