You will be pivotal in providing essential support to ensure the smooth functioning of the office and assist in various administrative and personal tasks. Position Overview: Provide comprehensive administrative support to the Executive. Play a key role in ensuring efficient communication, co-ordination, and execution of various administrative tasks to enhance the productivity and effectiveness of the Executive team. Minimum Job Requirements: Bachelor's Degree preferred. Previous experience in Executive Support roles is a must. Proven experience as an Executive Assistant. Finance administration experience essential. Experience with an online accounting package an added advantage. Competencies: Detail-oriented professional, capable of managing multiple tasks and responsibilities in a fast-paced environment. Excellent organisational and time-management skills. Process driven. Strong written and verbal communication skills. Proficient in Microsoft Office Suite and other relevant software. Ability to handle sensitive information with confidentiality. Exceptional attention to detail and accuracy. Proactive problem-solving and decision-making skills. Thrives in a dynamic environment and brings a positive attitude. Responsibilities: Office Management: Ensure the smooth operation of the Executive office. Order and maintain office supplies. Calendar Management: Co-ordinate and manage Executive calendars, including scheduling meetings, appointments, and travel arrangements. Communication: Act as a liaison between Executives and internal/external stakeholders. Draft and edit correspondence, emails, reports, and other documents for Executives. Meeting Co-ordination: Prepare meeting agendas, documents, and presentations. Attend, distribute and take minutes during meetings, and follow up on action items. Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and transportation. Provide detailed itineraries and ensure Executives well-prepared. Administrative Support: Handle confidential information with discretion and professionalism. Assist with document preparation, proofreading, and editing. Project Assistance: Support Executives in various projects, co-ordinating tasks and ensuring deadlines are met. Conduct research and compile information for special projects. Expense Management: Track and reconcile Executive expense reports. Generate monthly customer invoices. Daily capturing of supplier invoices & cashbook processing.
