Executive Support: Provide high-level administrative support to the Chief Executive Officer, including managing calendars, scheduling meetings, and handling correspondence. Coordinate travel arrangements and prepare detailed itineraries for domestic and international trips. Assist in preparing presentations, reports, and other documents as required.Maintain confidentiality and handle sensitive information with discretion. Company Secretary Duties: Act as the primary point of contact for all corporate governance matters and ensure compliance with statutory and regulatory requirements. Prepare and distribute notices, agendas, and meeting materials for Executive Committee and Board Meetings. Attend Exco and Board Meetings to take accurate minutes and facilitate discussions as necessary. Maintain official records, including minutes, resolutions, and statutory registers. Assist in drafting and filing legal documents, such as annual reports and corporate filings. Communication and Coordination: Serve as a liaison between the CEO's office and internal/external stakeholders, including senior executives, board members, and regulatory authorities. Coordinate with other departments to gather information and facilitate decision-making processes. Monitor deadlines and ensure timely completion of action items arising from meetings and discussions. Bachelor's degree in Business Administration, Legal Studies, or related field preferred. Proven experience (5 years) in an executive assistant role supporting C-suite executives. Previous experience as a company secretary or familiarity with corporate governance principles preferred. Excellent written and verbal communication skills, with the ability to draft clear and concise minutes and reports. Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively. Proficiency in Microsoft Office suite and other relevant software applications. Discretion and integrity when handling confidential information. Ability to work independently and collaborate effectively within a team environment. Flexibility to attend meetings outside of regular business hours, as needed.
