Requirements: Matric essential Advanced MS Office and Excel and PowerPoint Excellent command of written and verbal skills Proven work experience as a receptionist, front office representative, or similar role. Administration certification Meticulous and organised Exceptional multitasking and time management skills Excellent communication and interpersonal skills Outstanding administrative skills Customer service attitude Additional functions and/or duties may be required in addition to those listed above Competencies & Skills: Pro-active, leading agendas to improve situations to the benefit of all Able to assess a situation and provide a solution Have a close and personal rapport with staff Able to meet tight deadlines and put rigorous processes in place Process driven and logical thinker Friendly, outgoing, and approachable The main purpose of this position: The receptionist role within the company serves as a pivotal point of contact and administrative support Positioned at the front lines of the office, the receptionist/s are the initial face of the company, providing a warm and professional welcome to visitors and callers alike Beyond greeting guests, they manage crucial administrative tasks such as answering phones, scheduling appointments, and coordinating correspondence. Their role extends to being an information hub, offering insights into company operations and directing inquiries to the appropriate departments. Additionally, the receptionists contribute to office security by monitoring access and ensuring adherence to safety protocols. Overall, they play a vital role in facilitating efficient communication, enhancing customer service, and maintaining a harmonious workplace environment. Duties & Responsibilities: Greet and welcome visitors in a warm and professional manner Answer, screen, and forward incoming phone calls Handle and distribute incoming and outgoing mail Maintain office security by following safety procedures and controlling access via the reception desk Manage the appointment schedule, ensuring efficient use of meeting rooms Provide basic and accurate information in-person and via phone/email Perform clerical duties such as filing and/or photocopying Assist with various administrative tasks as needed Maintain a tidy and presentable reception area Apply Now
