VACANCY NOTIFICATION Position : Head: Projects Location: Tshipi é Ntle Manganese Mining, Kathu, Northern Cape VACANY STATUS PUBLISHED DATE 14 May 2024 CLOSING DATE 23 May 2024 POSITION DESCRIPTION Head: Projects PATTERSON GRADING E Lower REPORTING TO Chief Operations Officer DIRECT REPORTS Contract Project Managers PURPOSE OF THE JOB To develop and manage strategic and capital projects across the business and mining value chain, from project planning to inception and implementation. Providing deep project management expertise to the project management capability, teams, and stakeholders; ensuring project success against timeframes, budgeted expense and compliance with risk management and governance frameworks. KEY PERFORMANCE AREAS Strategic Perspective Strategic plan development and implementation • Developing and implementing project strategy/plans aligned to the business plan. • Ongoing evaluation and alignment of projects to the business strategy and direction and objectives of the mine. • Ensuring project management processes, policies and practices are compliant with relevant statutory requirements, legal and governance frameworks. • Strategy aligned to operational objectives of the mine. • Effective, regular communication of strategy to relevant, defined, stakeholders. • Quarterly reporting on performance against strategic objectives and any deviations from strategy. • Meeting organisational strategic objectives against plan. Financial Perspective • Interpret the strategic and operational requirements of projects and integrate financial needs to ensure the availability of financial resources. • Deliver and manage an annual budget that represents the best estimate of costs and supports the attainment of the organisation and business unit's financial objectives. Must be comfortable with accurate financial reporting for the project team and have experience in doing so. • Allocate and monitor the utilisation of allocated funds to enable the attainment of project objectives. • Regularly review and proactively monitor and appropriately respond to spend against budget. • Manage and report expenditure according to financial procedure. Measure and report on return on investment of projects. • Budget variance - % variance (actual vs planned) • Project Management (including Capital project) - % adherence to project plan (within budget) • Adequate financial assessment of financial business case for new projects - All capital projects need to be. • subjected to feasibility study. • Cost saving initiatives - % reduction on directly managed cost of production from previous year. People Perspective People management/ leadership 1. Provide management/leadership and guidance to project teams, ensuring: • Attraction, recruitment, development, and motivation of employees. • Alignment, measurement, and management of employee's efforts and performance towards the attainment of function and organisational objectives. • Resolving disputes, grievances, and conflicts. 2. Ensure the proper utilisation of project teams to ensure a competent skills base for the continued success of the function and organisation through: • Performance management practices. • Learning and development programmes. • Succession planning programmes and practices. • Reward and recognition practices. • Coaching and mentoring practices. • Ensuring a healthy and safe work environment for employees. • Employee Engagement Rating - Rating • ZERO harm - LTIFR • Leadership / performance indicator - 360 feedback rating. • Transformation - Achievement of plan (EE, BBBEE, SLP) - % achievement of plan (actual vs planned) • Performance Management - Number of performance contracts in place - Number of performance / talent conversations held. - Number of IDPs in place Stakeholder engagement and management • Manage relations with internal and external stakeholders to promote objectives of the company. • Ensure that the needs of organisational stakeholders are prioritised and managed including: • Management and the executive team • Colleagues and employees. • Shareholders and investors. • Community and external stakeholders. • Work with colleagues, organization officials and staff members to discuss issues, coordinate activities, or resolve problems. • 360-degree feedback from relevant stakeholders. Internal Business Process Perspective Operational effectiveness • Overall responsibility for all projects within the business. Providing guidance regarding project approach, methodologies, and best practices. • Lead projects in respect of: • Review of quotes, scope of work and other documentation for projects. • Run large projects independently of management. • Delivery of projects within scope, budget, and time. • Manage client expectations throughout the project and communicate plans and project status transparently and regularly to client. • Manage and motivate various discipline teams and third-party resources. • Prepare and update project plans. • Plan, track, control and report on projects. • Manage risk and scope throughout the project. 1. Design, develop and implement project management systems and processes in a manner that will ensure: • Accurate reporting information on a regular basis as required. • Highlighting of sub-standard performance, processes and systems. • Employees understanding their roles and being managed in a manner as to perform to the requirements of their roles. • Project Management (including Capital project) - % adherence to project plan (within time and specification) • Internal Business Process Management - IBP Mapping - % progress against plan (number of processes identified vs mapped) • Document management - % compliance to document management control system procedure. • IT system utilisation - Independent annual review of consistent use of all functionalities of all IT systems under control of the function Customer Perspective Customer Relations Management • Develop and maintain relationships with external role players (government, business etc.) to influence decision making/interpretation in favour of business objectives. • Builds relationships across the organization by sharing business information and knowledge. • Manage the project management functions performance in terms of agreed "Service Level Agreements" and agreed KPA/KPI's and effectiveness areas. • Driving customer satisfaction throughout the provision of quality of output. • Internal Customer metric - 360 degree assessment/ % deviation from Service Level Agreement Stakeholder engagement and management • Negotiate with internal and external stakeholders to promote the business and service objectives of the company. • Ensure that the needs of organisational stakeholders are prioritized and managed including but not limited to: • Management and the executive team. • Work colleagues and employees. • Shareholders and investors. • Community and external stakeholders • Monitor and report on projects as well as other SLP commitments such as skills training, employment equity, bursaries, learnerships and internships etc. • Liaise with community organizations, municipality and the DMR regarding SLP reporting and commitments. • Internal Customer metric - 360-degree assessment/ % deviation from Service Level Agreement MINIMUM QUALIFICATIONS REQUIRED • Undergraduate Degree in Engineering • Appropriate project management qualification and certification (i.e. Project and/or Program Management Professional - PMP/PgMP or internationally recognised equivalent). PREFERRED QUALIFICATION • Relevant tertiary qualification in business management and or business leadership. • Project risk management (i.e. PMP-RMP or equivalent) beneficial. MINIMUM EXPERIENCE AND KNOWLEDGE REQUIRED • 5-10 years' experience overseeing multiple, related projects and their resources to achieve strategic business goals. • 3 years mining industry experience • 3 years' experience in a managerial role. • Deep understanding of project management methodologies including agile methodologies. • Experience in relevant project management software and technologies (i.e. MS Projects).
