Incredible opportunity available to work full-time for SmartPA South Africa servicing local and international clients as a Marketing Admin Assistant . Candidates must be able to match our UK team's local time zone standard full day working hours from 09h00am to 17h30pm Monday to Friday, which would be SA time from 10h00am to 18h30pm from the 28th of March to 31 October and then SA time 11h00am to 19h30pm from 31 October to 28th March annually when the time zone changes. Please note that you will also work according to the UK public holiday calendar, not the South African Public Holiday calendar. Successful candidates will be required to work remotely with a reliable home fibre internet connection but could be expected to work from an office, should the employer require it in the future. Successful candidates will therefore need to be able to arrange their own transport to and from work when this is necessary and is a condition of employment. Your role will involve various administrative tasks for our clients, with a focus on supporting digital marketing and Sales teams with activities such as but not limited to: You will have close contact with clients, so you need to be good at building relationships You will help their businesses with their daily digital marketing and admin needs by responding to client requests You will work in our pod structure to support your colleagues and your clients. This team structure allows for support and cover with clients when needed You will be a SmartPA representative, delivering our purpose and promoting SmartPA culture and values to your team and to clients You will demonstrate the ability to manage client expectations proactively and diplomatically You will enter and organise data accurately across various platforms You will support with diary management and email management for our clients You will support with event and travel coordination for our clients: Communicating with vendors, suppliers, and other event coordination activity You will provide email marketing help: Support with running email marketing campaigns, including managing and segmenting lists. Track and report on email campaign results You will maintain regular posting schedules and content calendars You will track marketing budgets and expenses You will provide document production and research support: Conducting competitor research, coordinating, and proofreading content You will run clients' social media channels, such as: Facebook, LinkedIn, Twitter, and other relevant platforms. Responding to customer queries and using tools to schedule posts across different platforms You will help with marketing analytics and reporting: Collecting data on social media performance, including reach, engagement, and conversion metrics to create an overview for the marketing team to assess the effectiveness of social media strategies You will help with updating websites and CRMs with images and content and communicate with software developers to coordinate website upgrades You may help with basic content creation: editing visual and written content for social media, such as graphics and captions using Canva. Help to brainstorm and develop content ideas Essential skills and knowledge: Advanced proficiency in digital marketing platforms, with a focus on maximising engagement and ROI Proven track record in administrative excellence, showcasing efficiency and attention to detail Expertise in diary and email management , demonstrating the ability to streamline communications effectively In-depth experience with CRM systems like HubSpot and Salesforce, highlighting the ability to manage customer relationships and appointments seamlessly Proficiency in MS Office suite, particularly Outlook, Word, and Excel, with a flair for creating compelling presentations and reports Document formatting skills , e nsuring all communications are professionally presented Project delivery acumen, with a history of meeting and exceeding tight deadlines Exceptional time management and organisational abilities, adept at managing multiple clients' needs with precision Outstanding communication skills, both verbal and written, with a knack for adapting to various client backgrounds and levels Dynamic interpersonal skills, fostering strong relationships both internally and with clients Adaptable and resilient, thriving in a fast-paced, varied environment and embracing challenges with a positive outlook Innovative thinker, open to contributing ideas for business improvements and efficiencies Desirable skills: Familiarity with social media scheduling tools like Hootsuite, enhancing online presence and outreach Creative experience with content creation tools such as Canva and Adobe, crafting visually appealing marketing materials Proficiency with time tracking and task management tools like Asana, Monday.com, Notion, or Toggl, optimising workflow and productivity Experience with email marketing platforms like Mailchimp, driving campaigns and audience engagement Account management expertise, with a focus on building and maintaining strong client relationships Compulsory information required as part of the application process for evaluation prior to considering candidates for interviews: An up-to-date CV with a minimum of 2 contactable references Confirmation of Previous experience Confirmation of job specifications & working hours Current employment status Notice period if employed Confirmation that you have a home office workspace Confirmation that you have a reliable home fibre internet connection Confirmation of availability for online interviews ASAP, and candidates must be able to access an online meeting with a computer with audio and camera and have access to the internet for the interviews Confirmation of anticipated salary expectations within the identified levels communicated in this document Apply Now
