MAIN PURPOSE OF JOB Provide high-level specialist administrative support within the Operations team, also makes routine and procedural decisions regarding administrative activities within the parameters of the organization policy and procedures Duties and Key Responsibilities •Filing management of all paperwork related to Operations. •Handling HO finance queries pertaining PO's and vendors, the Reconciling/compiling finance docs and billing •Liaising with all stakeholders regarding all purchase orders from head office and vendors •Invoicing all Motor Plan & Warranty job cards of SAP •Check that all the parts booked on job cards under Motor Plan Warranty are correct; •Check payments on Motor Plan & Warranty after claim is submitted; •Ensure all Motor Plan & Warranty used parts are sent back; •Capturing all leave and Employee hours on ESS – submitting relevant documentation to Head office •Sorting all pay queries from EE's and dealing with customer service and queries •Handling all insurance claims, damages and being a Petty cash custodian •Handling local vehicle fleet; all maintenance, repairs and license renewals •Ordering container packing stock/inventory •Delivering documents to SARS (Customs) when needed •Invoice job cards on a daily base when available; Additional Duties •Present critical issues daily at operations meeting & corporate tactical meeting •Maintaining a good working relationship with all internal and external customer •Ensure department adheres to ISO 9001 Quality Processes and standards •Ensure department adheres to ISO 14001 Environmental Processes and standards •Ensure department adheres to ISO 45001 Health and Safety standards Behavioural Skills and Abilities •Pro-active - Advanced level •Communication - Advanced level •Organisational skills - Advanced level •Interpersonal skills - Advanced level •Analytical ability - Advanced level •Methodical and Process Orientation - Advanced level •Results Driven - Advanced level •Work Independently - Advanced level •Customer focus - Advanced level Candidates MUST have the following Education/Requirements: •Grade 12 (or equivalent) with English fluency (Written and spoken) •Nationl diploma or degree in business/operations management and 1 - 2 years industry or working experience or; •3-4 years administration and high-level customer service experience •Understanding of the Vehicle supply chain environment advantageous •MS Office spreadsheets and graphics – strong excel skills. •SAP knowledge and experience •EVL knowledge and experience •Warranty administration and Dealership experience •No criminal record Apply Now
