Outsourced Payroll Specialist - Cape Town City Centre

In this role, you'll be at the forefront of the payroll management arena, leveraging your expertise in UK payroll legislation and regulations to ensure accuracy and compliance. Your responsibilities will include handling all aspects of payroll administration, from calculating wages to managing statutory payments and responding to complex inquiries with professionalism and expertise.

Responsibilities:

  • Process payroll for multiple clients accurately and timely, ensuring compliance with HMRC regulations and client-specific requirements.
  • Handle all aspects of payroll administration, including calculating wages, processing employee deductions, and preparing payroll reports.
  • Manage statutory payments such as PAYE, NI, pension contributions, and court orders, ensuring accurate and timely submission to HMRC and relevant providers.
  • Respond to complex payroll inquiries and provide professional payroll advice and support to clients and employees.
  • Perform checks on monthly reports, including payroll interface errors, net variances, and comparisons between payroll and HR systems.
  • Take action on complex payroll processes such as National Insurance category changes, gross-ups, and recalculations of previous month's payroll.
  • Liaise with other internal teams and external stakeholders to resolve payroll-related issues and provide resolution to employees and clients.
  • Prepare payroll exception reports, business reports, and ad-hoc reports as needed.
  • Perform reconciliations of payroll deductions and prepare payment requests to providers.
  • Validate invoices in client accounts payable systems and handle overpayments, including recording data, issuing letters/emails, and responding to queries.
  • Prepare out-of-cycle payments files for approval and assist with testing of fixes for defects and annual releases.
  • Support annual tax year-end and P11D activity, including system testing, data gathering, validation, producing statutory documents, reconciliations, payments to HMRC, and client review meetings.
  • Assist with client internal and external audits on an annual basis.
  • Maintain accurate payroll records and documentation in compliance with GDPR and other relevant legislation.
  • Assist with year-end payroll processes, including P60 preparation and submission.

Experience, Skills and Qualifications:

  • Minimum of 2 years of experience in UK payroll processing, preferably within an outsourced payroll environment.
  • Solid knowledge on UK payroll legislation, including the National Minimum Wage Act, Income Tax Act, National Insurance contributions, and other relevant laws and regulations is essential.
  • Experience with dealing with HM Revenue & Customs (HMRC) is essential.
  • Understanding and adhering to statutory obligations beyond just tax-related matters, such as compliance with employment laws, regulations regarding pensions, and reporting requirements for benefits and expenses.
  • Proficiency in payroll software such as Sage, Xero, Quickbooks, IRIS, PayScape, or similar.
  • Proficient in Excel, comfortable manipulating large volumes of data.
  • Ability to cultivate strong working relationships with clients at all organizational levels.
  • Thorough understanding of payroll concepts, statutory practices, and procedures.
  • Strong attention to detail and accuracy, with the capacity to meet strict deadlines.
  • Possession of relevant Payroll Certifications or Qualifications.
  • Considerable advantage if registered as a Certified Payroll Technician (CPT), Certified Payroll Administrator Practitioner (CPAP), or Certified Payroll Practitioner (CPP) with The South African Payroll Association (SAPA).
