The position provide support to Various Project managers and report directly to the project department HOD. A Project
Support Officer will perform the following specific roles:
- Ensure the agreed project management methods, standards and processes are maintained throughout the project lifecycle.
- Assist the Project Manager and Team Managers in the production and maintenance of project plans.
- Take responsibility for the transport and logistics arrangements required on various projects.
- Assist the Project manager in the execution of his day to day duties.
- Develop and maintain the project library, filing, recording and reporting systems.
- Develop (In conjunction with the project department HOD) and implement appropriate configuration management procedures
- Co-ordinate the production of all reports and produce project summary reports.
- Set up and maintain systems for recording project costs.
- Define and document procedures in accordance with agreed methodology
- Advise and assist project team members in the application of project procedures, disciplines and recording and reporting standards.
- Maintain risk and issue logs and change control records.
- Develop and support effective communication mechanisms between the project teams.
- Undertake any other administrative tasks as specified by the Project Manager
Responsibilities:
The position will have the following general responsibilities:
- Reporting on progress, resources, finance or costing
- Assist the project manager in overseeing projects, mitigating risks and solving issues
- Quality assurance, for example through collating data, auditing or compliance checks
- Scheduling meetings and setting agendas for the project team
- Internal and external stakeholder management
- Identify ways in which processes may be improved and put forward such proposals for the project manager to consider.
- Contribute to formal process reviews to help enable our teams to become more efficient in their processes.
- To be clear, assertive and patient communicator.
- Carry out any other duties and projects as required by the Project Manager, commensurate with the level of the post
- To maintain a first class level of customer service ensuring that all customers are treated efficiently and in an appropriate manner.
- To work within the relevant legislation, policies and procedures.
- To attend training courses as identified and agreed for appropriate development.
- Undertaking other duties not specifically stated which from time to time are necessary without altering the nature or level of responsibility.
Requirements:
The following are the requirements for the position:
- Post Graduate Degree in Business management, project management or Electrical Engineering
- Knowledge and experience of a formal project management methodology
- A high degree of computer literacy including advanced knowledge of the MS Office Suite and a willingness and skill to learn new programs quickly.
- Project planning ability
- Experience of working in a Project/Manufacturing environment
- Ability to analyze and present information
