As a receptionist, you will be the first point of contact for our company. Duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. As a customer service consultant, you will be acting as the front line of support for customers for both online and in store and ensure customers are satisfied with the products, services, and features. Reception: Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate person and office Answer, screen, and forward incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures) Provide basic and accurate information in-person and via phone/email. Receive, sort and distribute daily mail/deliveries. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges) Order front office supplies and keep inventory of stock. Update calendars and schedule meetings Arrange travel and accommodations and prepare vouchers. Keep up-to-date records of office expenses and costs. Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing. Customer Service: Maintaining a positive, empathetic, and professional attitude toward customers at all times Responding promptly to customer inquiries Meeting daily, weekly, and monthly KPI's in responding to queries and complaints Communicating with customers through various channels, managing both emails and phone calls Acknowledging and resolving customer complaints Product knowledge in order to be able to answer all questions that may arise. Processing orders, forms, applications, and requests Keeping records of customer interactions, transactions, comments, and complaints Communicating and coordinating with colleagues as necessary Providing feedback on the efficiency of the customer service process Ensure customer satisfaction and provide professional customer support across the board. Reporting on customer queries and informing line manager of escalations Matric certificate (additional certification in Office Management or Microsoft Office is advantageous) Proficiency in Microsoft Office Suite 1 - 2 years call centre experience or 1-2 years of customer service correspondence Must be familiar with help desk applications.
