About the role QCIC is seeking a highly organised and responsible Senior Personal Assistant to join our successful team in supporting the company's Director to ensure the smooth operations of a leading global security engineering consultancy. The Personal Assistant will report directly into our company Director, based in London, and will be expected to provide highly effective support and to perform administrative duties in a timely and efficient manner. The Personal Assistant to the company's Director will also work closely with key stakeholders across the global business to provide continuous support, ensuring the smooth day-to-day operations of the business. This role is a hybrid-based position subject to policy. Overview of Key Responsibilities: Provide high-quality support and an efficient and confidential administrative service to the company Director. Manage and organise the company Director's calendar to accurately assess availability. Organise and schedule meetings and appointments on behalf of the company Director. Be the point of contact for the company Director, taking calls and managing inboxes as directed. Manage verbal and written communication on behalf of, and in conjunction with the company Director, ensuring the highest quality of presentation of documents and reflecting the company's values. Drawing up and distributing relevant documents on various platforms. Assisting planning and organisation of company events. Assist the company Director and leadership team in company decision-making Minute-taking in meetings All other administrative duties required from time to time. Management of one or more administrative team members. Ability to translate ideas into compelling communication pieces as needed (Excel, PowerPoint, Word and other) What we are looking for 3-5 years' experience in a Senior PA/administrative role, preferably in a global SME. Excellent interpersonal and communication skills with the ability to effectively collaborate with stakeholders at all levels of the organisation. Outstanding organisational and time-management abilities. A calm and professional manner, with an organised approach and excellent attention to detail. Proven ability to prioritise, multitask and meet deadlines in a busy, ever-changing environment. The ability to remain discreet and professional and to maintain confidentiality of information. Information gathering and information monitoring skills. Problem analysis and problem-solving skills. Judgment and decision-making ability. Energetic, enthusiastic and the ability to demonstrate an eagerness to learn. Excellent computer skills – strong knowledge of Office 365 (Outlook / Word / PowerPoint / Teams / Excel). Solid understanding of day-to-day business operations and the importance of daily administrative operations within a global SME.
