Administrator - Cape Town City Centre

urpose:Provide administrative support to the Group Reporting Officer and Chief Financial Officer in reporting and compliance. The key focus is on meticulous attention to detail.
Key Accountabilities and Activities:Monthly Management Accounts Packs
  • Compile, print, and distribute the packs after CFO review.
Budget Packs
  • Compile, print, and distribute the Annual Budget packs post-CFO review.
Statutory Requirements
  • Complete the annual CIPC checklist and secure director signatures.
  • Assist in completing resolutions and obtaining necessary signatures for company amendments.
  • Maintain both physical and electronic company secretarial files.
FICA Compliance
  • Build and maintain electronic folders for each companys FICA documents.
  • Assist in gathering and submitting FICA documents for property transfers, mortgage bond registrations, and bank detail updates.
PAIA Compliance
  • Assist the CFO in submitting yearly PAIA returns.
Property Compliance
  • Assist with property compliance matters and drafting/updating Commercial Lease Agreements.
  • Maintain property compliance files and the property register.
Banking
  • Complete forms for changes to online banking platform access rights.
  • Update the master bank account register with changes to users, rights, and accounts.
  • Assist with yearly facility reviews and compile supporting documents.
Insurance
  • Assist with annual insurance renewals and ensure proper filing and electronic saving of policies.
Ad-Hoc Requests
  • Support the business by handling ad-hoc requests with accurate, high-standard information delivered within required timeframes.
Position Requirements:
  • Internal Communication: All levels of staff.
  • External Communication: Conveyancing Attorneys, Bond Attorneys, Bankers, Insurance Brokers, Statutory Service Providers, Commercial Tenants.
  • Qualifications: High School required; Diploma or Certificate in Administration or Office Management advantageous.
  • Experience: Two years Clerical or Administration experience recommended; Two years MS Office experience.
  • Competencies: Strong attention to detail, good time management, and communication skills.
  • Skills: Proficient in typing, computer use, MS Office, and data entry.
