Phakisa Holdings is seeking for a Complience Officer in Durbanville, Fisantekraal. o Compliance check – new employees - ensure that all TES staff for sites identified have correct take on documentation. Highlight back to relevant sites if any non-compliance items are noted (issue NCR). Ensure that relevant “hold” status is annotated on VIP take on sheet to ensure new employees with paperwork that is considered to be in the major non-compliance group are not paid. o Non-Compliance logs - Maintain a non-compliance log per site of all employees who have incomplete / incorrect documentation. Liaise with operations team to ensure that all non-compliance items are dealt with. Where non-compliance continues – escalate to operations management and if noncompliance persists – ensure included in Board reporting. o Filing - Ensure that all new contracts received are scanned and filed electronically on the company server. 2 – Minute employee record retrieval. All documents submitted / received to be filed accurately in correct files (hard copy and electronic). Ensure that filing is kept in line with POPIA requirements (ensuring that filing cabinets are locked and no pending file is left unattended and is locked away at the end of every business day or when filing office is unattended). Removal of EOC files after three months dormant – file cabinets only to retain active files. Ensure that company SOP related to signing in and out of files is in place and update for every file removed from the system. Ensure that weekly follow up is done on all files not returned. o Background check verification - Ensure that no background checks are submitted for verification that have already been requested. Ensure that a weekly log of costs related to background checks is kept and updated weekly and reconciled monthly. Maintain a complete master database for all background checks run by the company o Manage compliance processes - Per specific flow diagrams and procedures. Run compliance related projects as / when required or identified and provide feedback and analysis to the Compliance Manager. Maintain employee database - Ensure that an employee database for all employees on site(s) is kept in the correct format. Ensure accurate data capturing to the database - daily o Submission of database to HO Compliance as / when requested. Monthly check against VIP employee list to ensure that VIP is accurate and only active employees are reflected – ensure VIP employee lists match site employee database o Ensure that weekly reports are generated highlighting renewals (medicals, induction, visa's) etc. and manage processes to ensure that these items are timeously renewed. o Termination reports - Submit monthly termination report to head office payroll officer and ensure VIP is updated accordingly. Interrogate client monthly termination reports and ensure individuals who have been dismissed from clients do not reappear on our sites o Client Compliance reports - Ensure that all client required compliance reports are generated and submitted per deadlines. o Manager all sites in portfolio to ensure that required compliance levels are maintained. Interact with other suppliers that impact on compliance levels and ensure reporting to / from them is accurate. Manage Compliance Officers on relevant sites to ensure that the required standards are maintained. Manage direct reports in terms of training, development and personal growth. Ensure discipline within your team is maintained and consistent. Liaise with other suppliers to ensure compliance levels are maintainedInterrogate any drop in standard for sites and initiate & manage action plans to correct the drop in standard. High level of computer literacy – specifically on MS Excel and Outlook Strong administration skills Attention to detail Problem solving abilities Matric is a requirement Previous Operational and administrative management experience (minimum 3 years) 3-5 years experience in the TES operation environment Experience in the Chicken Producing industry would be advantageous Report writing and interrogation experience would be advantageous Drivers license.
