Customer Services Specialist - Southern Africa (export) - Johannesburg


Minimum requirements for the role:
  • Must have a degree in Supply Chain/ B. Com. or similar qualification
  • Minimum 5 years Administration and/or Customer Service experience, ideally within agrochemical or similar is essential
  • Experience in servicing the export market for Southern Africa is preferred
  • Excel and SAP experience would be a distinct advantage
  • Must have a valid drivers license and reliable transport

The successful candidate will be responsible for:

  • Preparing the receive forecast for region, including planning based on stock availability, labels, and transport.
  • Ensuring all pricing, product codes [SKU] and stock availability are in order.
  • Monitoring and managing stock levels by giving warehouse permission to dispatch and relabel stock accordingly [EAF region].
  • Ensuring awareness of SOH and orders at all times.
  • Providing regular customer feedback and following up on orders.
  • Collaborating and consulting with Supply Chain and Procurement/Operations Manager on the delivery of goods and services as per commercial demand.
  • Keeping the Commercial team and customers updated regarding product availability, out-of-stock items, supply issues/delays, plant stoppages/downtime, relabelling activities, and general issues affecting supply (beyond the control of the team).
  • Coordinating with Supply Chain/Inventory Manager to ensure Manufacturing/Planning/Distribution is leading to the delivery of products to customers as per demand.
  • Participating in system enhancements to assist in operational efficiency (Forecast, DC process) and increase service levels.
  • Ensuring that the correct monthly pricing is loaded into the system and orders are booked out accordingly.
  • Revalidating stock as required and distributing COAs.
  • Managing stock requirements together with Operational and planning teams to pull stock from national depots to service customers.
  • Receiving all pricing and volumes from the Commercial Manager for Business Tenders.
  • Managing sales and tender volumes according to pricing and volumes given.
  • Advising customers of volumes taken on specific tenders.
  • Sourcing and planning stock for Business Tenders.
  • Ensuring deliveries are completed as per call-off schedules.
  • Processing orders in SAP and managing dispatches based on stock availability and allocation.
  • Maintaining and updating any existing orders.
  • Advising on stock availability.
  • Planning labels procurement and relabelling projects as per FC and orders.
  • Ensuring deliveries are completed as per call-off schedules.
  • Directly liaising with relevant warehouses to source stock.
  • Liaising with the Customer Services Manager regarding production and stock availability.
  • Working with transport coordinator to ensure loads are dispatched on time.
  • Dealing directly with warehouse management and staff regarding picking slips and availability of stock.
  • Liaising with regulatory authorities to ensure labels and registrations are up to date.
  • Maintaining constant and up-to-date communications with customers at all times regarding stock availability, load schedules, and delivery dates.
  • Keeping a close working relationship to ensure top service levels.
