Reference: DUR003041-SN-1 Our client, a supplier of highly specialised chemicals and natural products, seeks a highly organised and efficient PA/Executive Assistant who will go above and beyond to ensure that the company is headed in the right direction by ensuring that the Senior Management you are assisting is on top of everything. You will be an integral member of the organisation, and will assist the leadership in daily tasks, offer strategic support on cross-functional projects, manage administrative functions, implement strategic initiatives, and manage executive email correspondence. This position requires a dynamic, dependable, detail-oriented individual with exceptional communication and problem-solving skills. Minimum Job Requirements: Bachelor's Degree or equivalent. Minimum 5 years of experience as PA/Executive Assistant role supporting top-level management. Experience working closely with senior-level officials, internal and external stakeholders. Expertise in Managing Executive / CEO's calendar. Competencies: Fluent in Afrikaans and English. Proficient in Microsoft Office Suite (Word, Excel, Sage, PowerPoint, Outlook) and other relevant software. Time management and meeting deadlines, and efficiently handle multiple tasks and priorities. Excellent writing skills and the ability to draft emails on behalf of high-level Managers. Discretion and the ability to handle confidential information with integrity. The Job: Act as a first point of contact for telephone calls, dealing with emails and phone calls by responding, passing on messages or highlighting them for the Director's attention. Manage diaries and organise meetings and appointments, often controlling access to the Director/CEO. Remind Director of important tasks and deadlines. Type, compile and prepare reports and correspondence. Manage database and filing systems Implement and maintain procedures/administrative systems. Collate and file expenses. Prepare responses to incoming correspondence Prepare research and briefing documentation in advance of appointments and presentations. Draft subsequent correspondence and follow up as necessary. Write minutes of the meetings when necessary. Miscellaneous tasks or research to support the Director / CEO. Other tasks may be assigned as necessary according to the project's / organisation's needs. Role & Responsibilities: Compile Data: Provide high-level administrative support to the CEO of the company such as research, statistical reports and design of presentations. Compile data to assist in making informed decisions. Prepare reports, presentations, and summaries as required. Meeting Co-ordination: Prepare and reconcile expense reports. Maintain and manage the leader's calendar, including scheduling and co-ordinating appointments, meetings, and events. Prioritise and reschedule, ensuring the Executive's time is used efficiently. Building Relationships: Develop and maintain positive working relationships with internal and external stakeholders crucial to the organisation's success. Contribute to adhoc projects as needed. Project Management: Assist in managing and co-ordinating special projects, initiatives, or events, working closely with other team members and departments. Time-Management: Prioritise own time and CEO's time, allowing management to focus on high-priority tasks by handling routine matters and managing interruptions. Confidentiality: Maintain strict confidentiality of sensitive information and exercise discretion in all interactions and communications. Knowledge: Develop a broad knowledge and understanding of the company's operations and objectives. Technology Proficiency: Up-to-date with relevant software and tools used in the organisation, such as productivity apps, project management systems, and communication platforms.
