Voltex is looking to employ a Junior Project Planner for their MV/LV division . This incumbent will be reporting Project Manager and Directors of the division. The position of an Junior Project Planner is to perform work involving supportive functions within the company and assist managers and supervisors with planning and coordination of ISO 9001 tasks and functions within the day to day operations of the company Compile project programme installation, procurement and drawing programme. Monitor progress installation procurement, design drawings Prepare targets, review results and report. Prepare and ensure all work packs. Be a strong individual when confronting staff for work pack information. Confer with management or subordinates to resolve worker problems, complaints, or grievances. Confer with other supervisors to coordinate operations and activities within or between departments. Confer with supervisory personnel, owners, contractors, and design professionals to discuss and resolve matters such as work procedures, complaints, and production/construction problems. Inspect, Implement and review projects to monitor compliance with claims and ensure compliance with site orders versus site claims and that all materials are covered per month, Project programs, Materials procurement, Cost tracking, Timekeeping of staff, Project/SHE file updates, Updating & maintaining Company & Project programs etc. Plan, organize, and direct activities concerned with the commercial department. Schedule the project in logical steps using relevant software programs (MS Project and Syspro) and to ensure that the budget time and or expenses required to meet project deadlines are in accordance to tendered budgets and Project requirements. Take actions to deal with the results of delays, bad weather, additional expenses, site instructions, extension of time, or emergencies affecting projects and or works by commercial and administrative action being NEC, GCC, JBCC, FIDIC, Standard contract guideline protocol and conditions (i.e., Early warnings, compensation events, EOT's etc.) Direct and coordinate the activities of employees engaged in the production and commercial works, such as accounting assistants, procurement staff etc. to effectively support senior management on projects. Supervise the work of staff, or subcontractors to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems and ensuring company policies are adhered to. Resolve customer complaints and answer customers' questions regarding policies and procedures. Assist with the enforcing of safety and sanitation regulations. Provide employees with guidance in handling difficult or complex problems and in resolving escalated complaints or disputes. Interpret specifications, blueprints, job orders, and company policies and procedures for workers. Observe work and monitor to ensure that works conform to safety & contractual standards. Plan and establish work schedules, assignments, and production/construction/commercial sequences to meet goals. Read and analyze charts, work orders, schedules, and other records and reports to determine work requirements and to evaluate current production/construction estimates and outputs. Transfer skill, train and instruct employees in job duties and company policies or arrange for training to be provided. Maintain knowledge of your industry and ensure constant growth of such knowledge as well as sharing such knowledge with others for the benefit & efficiency of the company. Perform business management duties such as ensuring all relevant paperwork is up to date, adhering to contractual procedures as well as administration functions such as maintaining records, creating spreadsheets, project methodology, project budget projections, spread sheets, procurement orders, documents and files, preparing reports and ordering supplies and equipment etc. Assist with basic accounting principles and undertakings around Syspro. Basic reconciliations of financial information and any other reasonable financial request Confer & enforce budget constraints, material estimating and controlling as per the company's restrictions and in line with the management systems put in place. Entertaining of clients when required & being a link as a customer liaison by Marketing of all services rendered by the Company. Interact between client, clients' Representative(s) and Manager or Supervisor regarding Project issues. Provide advice, information and instruction on local OHS/Project issues. Keep notes of any interaction between clients, safety officers, managers or supervisors Conduct and compile risk assessments for various work sites both for safety and project risk profiling Present risk assessments to commercial & project team Compile safety, operating & contractual files for the various projects in accordance with project specifications and ensure all project paperwork is always kept up to date. Assist managers and other supervisors by providing administrative and commercial support. Compile reports, review and analyze Projects and data and provide reactive solutions timeously. Take minutes of various meetings, committee meetings, disciplinary meetings etc. Compile and present Syspro and Management reports Diarize safety, staff and general committee meetings and send out notifications. Create filing systems for Project documentation. Order and take control of all Project material in line with project specifications/BOQ. Ensure all orders received from Supervisors/Artisans are checked & verified to specification & measurement and ensure the Procurement officer and stores employees has the correct procurement and delivery information. Keep records of orders/materials and utilize the Syspro system to review and manage outstanding orders. Keep abreast with the latest developments in the OSHACT/Construction law/Contract law and other required practices. Assist & Implement ISO plans for management and staff. Ensure that inspection activities carried out in different stages in the process adhere to the quality plan. Review the process in terms of the assignments of last meeting, documentation prepared by each member, rectification of non-conformities, achievements of quality objectives. Follow up assigned targets or specific assignments to the staff and ensure the availability of resources required in the completion of assignments. Brief the progress to management regarding the implementation process of quality management system. Maintain files of the minutes of meetings Maintain ISO files in accordance with company policies & procedures. Assist management in establishing and developing of new project developments in the company. ISO audit coordinator, attend quality coordinator meeting, quality coordinator roles and responsibilities, internal and external audits, focal point in developing quality plans. Train new employees on documentation systems and review to assure that it is correct and complete. Stimulate quality awareness and implication with all employees. Initiate process for corporate ISO 9001 certification Coordinate with management in the implementation of a quality management standard Coordinate with staff in the relevant departments for development of detailed procedures. Initiate actions to implement the same. Organize all the activities involved in carrying out internal quality audits with management to check whether systems are in conformance with the documented procedures. Responsible to ensure that the latest versions of relevant records are available to the users concerned. Maintain and upkeep of work areas. A trade qualification or equivalent diploma in Project Planning 3 years of experience in relevant field Computer literacy A valid driver's license. Ability to manage one's own time and the time of others, to give your full attention to what other people are saying and to use logic and reason to identify the strengths and weaknesses in alternative solutions. Ability to motivate, develop and direct people as they work, and to identify the best people for the job.
