Personal Assistant – Hospitality - South Africa

RESPONSIBLE TO: EXECUTIVE DIRECTOR SUMMARY OF RESPONSIBILITES Provide administrative support, ensuring the executive’s time is optimized and their tasks are accomplished efficiently MAIN FUNCTIONS: Manage the executive’s calendar, coordinating appointments, meetings, and events. Ensure timely reminders and notifications. Handle email, phone calls, and mail correspondence, filtering and prioritizing messages. Draft and send emails, letters, and other documents on behalf of the executive. Receive, prioritize, and execute tasks assigned by the executive. Coordinate with other departments to complete tasks and projects. Prepare travel itineraries and ensure necessary documents are in order. Prepare reports, presentations, and other documents as requested. Edit and proofread documents for accuracy and grammar. Maintain confidentiality and handle sensitive information with discretion. Conduct research on various topics as requested. Enter data into databases or spreadsheets as needed. Prepare meeting materials, agendas, and minutes. Coordinate with attendees and ensure necessary equipment is available. Assist with special projects, such as event planning, research, or data analysis. Oversee the executive’s office, ensuring organization and tidiness. Manage office supplies and inventory. Ensure good communication flow by disseminating information promptly. Provide accurate and excellent filling and retrieval system. Carry out related duties that may be delegated to her by the Executive Management PERSON PROFILE/EXPERIENCE PERSON REQUIRED Bsc in Communication, English etc Proven experience as a personal assistant or in a similar role. Excellent communication, organizational, and time management skills. Ability to maintain confidentiality and handle sensitive information. Proficiency in Microsoft Office and Google Suite.
