Position Overview: The Personal Assistant to the Managing Director plays a pivotal role in providing comprehensive administrative and executive support. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities effectively. The PA will act as the primary point of contact between the MD and internal/external stakeholders, ensuring smooth communication and coordination of activities. Key Responsibilities: Administrative Support: - Manage and maintain the MD's calendar, scheduling appointments, meetings, and travel arrangements. - Prepare and organize materials for meetings, ensuring the MD is well- prepared. - Screen and prioritize incoming communications, including phone calls, emails, and correspondence. Communication and Coordination: - Serve as a liaison between the MD and internal teams, clients, and stakeholders. - Draft and proofread emails, reports, presentations, and other documents on behalf of the MD. - Coordinate and follow up on action items from meetings and ensure timely responses. Travel and Event Management: - Arrange complex travel itineraries and accommodations for the MD and visiting guests. - Plan and coordinate logistics for meetings, conferences, and events, including venue bookings and catering. Confidentiality and Discretion: - Handle sensitive and confidential information with integrity and discretion. - Maintain confidentiality of all communications and documentation. Project Support: - Assist in project management tasks, such as tracking deadlines, coordinating resources, and preparing progress reports. - Conduct research and compile information as requested by the MD. Office Management: - Oversee administrative tasks related to the MD's office, including filing, expense management, and office supplies procurement. - Anticipate and proactively address administrative needs to ensure efficient operations. Qualifications: - Bachelor's degree preferred, or equivalent combination of education and experience. - Proven experience as a Personal Assistant or similar role supporting senior executives. - Strong organizational skills with the ability to prioritize tasks and manage time effectively. - Excellent verbal and written communication skills. - Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software. - Ability to handle confidential information with discretion. - Detail-oriented and proactive in problem-solving. - Ability to work independently and collaboratively in a fast-paced environment.
