Job Duties:
 
Proposal Preparation
 
- Assemble the master proposal submission and co-ordinate document inputs as required by the Proposal Leader, ensuring conformance with pursuit guidelines.
 - Effectively co-ordinate proposals in support of the Companys business plan.
 - Ensure documentation is formatted, collated, and presented professionally as per client specification.
 - Ensure delivery of proposals on time to customers and co-ordinate efforts regarding bid clarifications by customers.
 - Track and report status of all proposal elements.
 
 
Corporate governance
 
- Assist to Co-ordinate CRMT of proposals.
 - Assist to Co-ordinate signatory approvals to DoA.
 - Assist to Co-ordinate the signing off of DoA forms by the Company Secretary.
 - Assist to Co-ordinate the final sign-off of approved rates.
 - Assist to Co-ordinate proposal sign-off by relevant HODs and approved Managers.
 - Send/track the signed proposal to the relevant manager to send to the customer.
 - Complete the necessary e-filing on Share-Point for auditing purposes.
 
Efficiency and Quality Standards
- Promote the use of internal best practices in proposals.
 - Maintain all templates with up-to-date information.
 - Ensure that the Companys capabilities are highlighted and brought to the attention of Proposal leaders.
 - Participate in all kick-off meetings scheduled by the appointed Proposal Leader.
 - Create and maintain a current and easily accessible library with photographs/graphic support and commercial documents and/or quotes for use I proposals.
 - Provide formatting and writing standards support to assist the Proposal Leader in creating a compelling and market leading proposal.
 - Obtain commercial qualifications inputs on tenders Ts and Cs from the Legal Department.
 - Co-ordinate tender file compilation and printing.
 
Business systems and reporting
- Follow up on bids "AWAITING REPLY" beyond 45 days with Proposal Leader to ensure accurate reporting standards of hit rates are maintained.
 - Provide CRMT training and support to Proposal leaders.
 - Provide Share-Point support /access to "authorised" proposal teams to ensure efficient control of proposals.
 - Ensure that successful bids are changed to project status and that relevant information is completed on CRMT Project.
 - Compile weekly win/loss/prospect reports.
 
Required Qualifications:
- Tertiary commercial or technical qualification.
 
ESSENTIAL KNOWLEDGE, SKILLS & EXPERIENCE
- A minimum of 5 years related experience in proposal development and support.
 - Proficiency in using MS Office (Word, PowerPoint, Excel) is essential.
 - Familiarity with graphics programmes and scanning/photo software is considered an asset but is not mandatory.
