The Administrator Supervisor's role is to support the Johannesburg region's sales team in achieving allocated targets by assisting with sales procedures, managing administrative activities within the sales team, and coordinating with other departments within the company. Sales Assist customers with quotations, order acknowledgements, product literature, stock availability and account queries. Proactively follow up on the status of quotations and orders with customers by managing and monitoring back-order reports daily. Assessments and recommendations on the opening of new business accounts. Interactive communication with other branches to ensure stock is made available across the company in conjunction with the sales manager. Monitor and advise other departments regarding special projects, i.e. financial terms, stock availability, training requirements, and delivery schedules on call-off orders. Technical Support Staying up to date with new products and features to ensure the ability to provide basic advice on system applications. Continuous monitoring of RMA reports to ensure the quickest possible turnarounds on RMAs. Continuous monitoring of case reports to ensure sales representatives and customers are updated on support activities. Monitoring the training register and providing feedback to the sales team regarding customer training status. Finance and Logistics Continuous assessment of accounts receivable and age analysis provided by the Finance Department to ensure creditlimits and terms are controlled. Liaising with the Financial Department on the financial status of customer accounts. Managing and monitoring of weekly replenishment reports in conjunction with the Logistics Department. Continuous monitoring of status reports as provided by the Logistics and Production Departments. General Ensure all company policies and relevant procedures are followed. Assist with tasks related to company operations that might fall outside the indicated duties and responsibilities. Assist with marketing activities where required. Essential Skills & Experience Minimum of 3 to 5 years experience in a sales administrator or sales administrator supervisor position. Familiarity with sales processes and procedures. Fully computer literate and advanced proficiency in all Office 365 products, especially MS Outlook and Excel. Financial and numerical proficiency is essential. Able to manage a team, work as part of a team, and handle tasks and deadlines. Well-organised with the ability to prioritise and lead administrative tasks. Fluent in written and spoken English. Skilled in professional communication with customers, with traceable customer relationship experience and service providers, both telephonically and via email. Strong developed leadership and supervisory skills. Able to adapt to changing priorities and work in a fast-paced environment. Advantageous Skills & Experience Advanced knowledge of order processing systems and CRM software. Knowledge of sales principles and practices, especially in fire detection and suppression equipment (desirable, but not essential).
