Support Office Clerk - Johannesburg
Key Responsibilities:
Owner's Pack Preparation:
Collate monthly Owners Pack and invoices, and distribute to owners via email.
Tenant Statements:
Assist in preparing tenant statements for hand delivery.
Deposit Refunds:
Prepare and obtain required documents for deposit refunds.
Tenant Correspondence:
Prepare correspondence to tenants.
Building Creditors:
Prepare payments for building creditors.
Manual Charges:
Raise manual charges to tenant accounts.
System Updates:
Update notices to relevant systems.
Financial Queries:
Prepare rent-roll and owner statement queries for the Portfolio Manager.
Building Inspections:
Distribute and follow up on monthly building inspections.
Vacancy Schedule:
Update and maintain the vacancy schedule.
Deposit Transfers:
Prepare documents for deposit transfers.
TPN Listings:
List bad payers and ex-tenants on TPN monthly.
Tenant Onboarding:
Load new tenants into the relevant system.
Electricity Vouchers:
Create and check electricity voucher sales monthly to identify breached or tampered meters.
Owner Statements:
Collate owner statements for M-files.
Payment Allocation:
Allocate identified payments and journals.
Parking List:
Update the parking list in the system.
Tenant Queries:
Assist with tenant queries.
Detail Orientation:
Maintain attention to detail in all tasks.
Communication:
Demonstrate good communication skills, especially in English.
Work Under Pressure:
Ability to work efficiently under pressure.
Administrative Skills:
Strong administrative skills and proficiency in English.
Requirements:
Minimum of 2 years of experience in a similar role within residential property management.
Strong organizational and time-management skills.
Excellent communication and interpersonal abilities.
Proficiency in property management software (MDA / MRI) and Microsoft Office Suite.
Attention to detail and a high degree of accuracy.
Ability to work independently and as part of a team.
A valid drivers license and reliable transportation is a plus.
