And we are looking for applicants who have worked in a similar role previously especially in the Automotive industry Job Description: Workshop Admin Assistant Position Overview: The Workshop Admin Assistant provides administrative support to the workshop team, ensuring smooth and efficient operations. This role involves handling clerical tasks, coordinating schedules, maintaining records, and assisting with various administrative duties to support the workshop's productivity and effectiveness. Key Responsibilities: Administrative Support: Perform general clerical duties including but not limited to photocopying, faxing, mailing, and filing. Prepare and modify documents including correspondence, reports, drafts, memos, and emails. Record Keeping: Maintain electronic and hard copy filing systems. Ensure records are accurately maintained and updated regularly. Track and document workshop activities, attendance, and production records. Scheduling and Coordination: Coordinate and schedule appointments, meetings, and events. Manage workshop calendars and ensure all relevant parties are informed of any changes. Organize and coordinate logistics for training sessions, workshops, and meetings. Inventory and Supplies Management: Monitor and order office and workshop supplies. Maintain inventory records and ensure timely replenishment of supplies. Coordinate with suppliers and vendors for procurement needs. Customer Service: Respond to inquiries and provide information to workshop staff, clients, and visitors. Handle incoming and outgoing correspondence and communications. Assist with customer service tasks and ensure prompt resolution of issues. Financial Administration: Assist with basic bookkeeping and financial tasks, such as processing invoices and expense reports. Track and reconcile petty cash and other workshop expenditures. Support budget preparation and financial reporting. Health and Safety: Ensure health and safety protocols are followed in the workshop. Assist with the preparation and updating of health and safety documents and records. Coordinate with the Health and Safety Officer to ensure compliance with regulations. Other Duties: Provide support for special projects and initiatives as required. Assist in the development and implementation of administrative systems and procedures. Perform other related duties as assigned by the Workshop Manager/Supervisor. Qualifications: Education: High school diploma or equivalent; additional qualifications in administration or a related field are a plus. Experience: Previous experience in an administrative or clerical role; experience in a workshop or manufacturing environment is an advantage. Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to work independently and as part of a team. Attention to detail and problem-solving skills. Must be a hard worker Self-motivated Responsible Working Conditions: Primarily office-based within the workshop environment. May require occasional lifting of office supplies and materials. Ability to handle a fast-paced work environment and manage multiple tasks simultaneously. Please note that the successful applicant will be placed on a Fixed Term Contract for 3 months and renumerated at R 6 000,00 per month
